Full Job Description

Status: Full Time – ROLE AVAILABLE IN OCTOBER 2026

FLSA Classification: Exempt

Reports To: Executive Director

Schedule: Full time, weekdays; occasional evening meetings

Compensation: $60,000 to $70,000 annually, commensurate with experience

Benefits: Health and dental insurance, 401(k) with employer match, paid time off, and additional benefits per the employee handbook

Position Summary

The Accounting Manager oversees all financial operations, planning, and structure for the organization, ensuring accurate accounting, regulatory compliance, and sound internal controls in accordance with GAAP/FASB standards. This is a hands-on role that manages accounting, payroll, benefits administration, grants and contracts, cash flow, budgeting, and audit coordination. Serves as a member of the Leadership Team, reporting regularly to the Board of Directors. No direct reports. Given significant access to organizational funds and confidential personnel information, this position requires the highest standards of integrity, discretion, and professional judgment.

General Responsibilities

Oversee all financial operations, financial planning, and structure.
Perform day-to-day accounting including accounts payable, accounts receivable, and bank and credit card reconciliations per GAAP/FASB standards.
Monitor the organization's banking activities and ensure adequate cash flow to meet organizational needs.
Prepare month-end close and generate monthly financial reports; report financial performance to the senior leadership team and Board of Directors.
Manage HR administrative processing, including onboarding and offboarding, FCRA-compliant background checks, COBRA administration, and time-off tracking.
Lead development of the agency's annual budget.
Provide financial oversight and management of grants and contracts.
Work with the Assistant Executive Director to ensure timely reporting of grant and foundation reports and draws.
Develop, implement, and maintain accounting and administrative policies and procedures for financial accounting and reporting.
Develop and maintain systems of internal controls to safeguard the organization's financial assets, in coordination with the Executive Director and Finance Committee.
Ensure compliance with all federal, state, and local regulations.
Oversee coordination and activities of independent auditors, ensuring all audit issues are resolved.
Oversee preparation and timely filing of all local, state, and federal tax returns; prepare annual 1099s for vendors.
Ensure timely completion of bi-weekly payroll.
Serve as primary contact for employee benefit plans (401(k), health, and dental) and, if designated by the Board, as trustee of the 401(k) plan.
Maintain personnel files for all staff, safeguarding the confidentiality of employee information.
Other duties as assigned.

Future Growth

As the organization's private-pay and fee-for-service programs move from planning toward launch, this role will grow to include earned-revenue responsibilities such as program financial modeling, pricing, client billing, accounts receivable, and revenue recognition.

Qualifications

Bachelor's degree in Accounting or a related field.
Minimum 5 years of accounting/bookkeeping or related experience, preferably in the nonprofit sector.
Experience with federal and state grants preferred.
Experience with financial modeling, program costing/pricing, or earned-revenue and fee-for-service accounting a plus, as the organization develops private-pay programs.
Proven ability to calculate, post, and manage accounting figures and financial records.
Proficiency in financial software and tools, including email, Excel, and nonprofit fund-accounting software.
Ability to manage multiple tasks, details, and deadlines with close attention to detail and accuracy.
Excellent organizational skills and the ability to prioritize and meet deadlines.
Ability to work collaboratively with program and operations staff.
Demonstrated integrity and discretion in handling confidential financial and personnel information.
Comfortable with monthly Board of Directors interaction and presentations.

This role operates in a professional office environment. The essential functions require the ability to work at a computer workstation for extended periods, communicate effectively in person and by phone and email, and occasionally attend evening meetings.
