Full Job Description

Accountant

Position reports to Chief Operating Officer

Job Tasks

Accounts Receivables (4 hours each day)

Goal: Ensure company secures payments for goods in timely manner, with accurate collection & recording of data

Precise daily posting of receivables to AS400 that perfectly ties out in both daily batch receipts and month end batch journal
Daily remote deposit to bank
Daily recording and reconciliation of checks, credit cards, e-checks, wires, refunds, and CODs; ensure all are properly coded transactions
Properly allocate and split coded receivables
Process credit cards accurately with proper codes as needed for approved, outgoing shipments; follow up on declined cards to minimize same-day voids
File daily invoices and credit card receipts
Daily update each account’s receivables status each business day, eg credit to invoice; reversal, etc
Prepare chargebacks for unauthorized deductions from payments, or NSF fees
Adjust customer balances applying credit memos to corresponding invoices
Issue credit memos or write offs in line with proper GL code into AS400 so monthly sales are reflected accurately, and future commissions are clawed back from salesteam due to discrepancies with sales
Reconcile customer and any contra accounts
Request payment on short payments or unearned discount taken on remittance
Email distributors to bill and record their monthly royalty fees no later than 4 days after the prior month’s month-end has been completed
Research and resolve discrepancies in a manner in line with Alyce’s standards
Adjust uncollectible receivables reserve on a monthly basis
Request and maintain resale tax numbers for customers
Record daily journal entries into Quickbooks
Maintain easily accessible and orderly filing system

Accounts Payable (5 –15 payments per week)

Goal: Complete payments timely, accounts reconciled monthly, and control expenses as if it were your own bank account

Collect, proactively and consistently organize, schedule and enter properly coded accounts payable invoices and release payment by due date, unless notified otherwise
Collect two signatures for approval on each bill; Never process payment for an unapproved invoice Person ordering invoice, or dept supervisor
COO signature required on each payable
Ensure collection of royalty receivables
Negotiate best terms possible for Alyce for each outgoing invoice; avoid late penalties,
Scan bills into QBO, and record & set up payments for release
Maintain spreadsheet of international vendor banking information
Ensure all International vendor bills are updated/entered accurately
Reconcile International vendor statements for received goods with outgoing wire files
Schedule payments to maintain consistent, non-wildly-fluctuating cash flow
Establish spreadsheets to track various prepaid and accrued expenses, and adjust to General Ledger monthly
Always maintain positive cash balance in bank
Properly record and classify payments in general ledger according to company policies
Monitor international invoices to ensure we received merchandise
Set up/create international wire transfers for vendors (only COO or CEO can transmit wire)

Human Resources (15 mins every two weeks)

Goal: Maintain consistent professional employee relations, and payroll is accurate and paid on time

Perform Bi-weekly payroll entries in Paylocity; verify payroll is accurate; release payroll on Tuesday
Fund 401k contributions in Fidelity within one day after Paylocity files are provided
Record payroll accruals into Quickbooks within one day after payroll funding, bi-monthly
Ensure PTO calendar is accurate for each pay period, and year to year
Ensure that all taxes are accurately filed by Paycor
Ensure HR compliance with state regulations; Liaise with IDES as necessary
Onboard new staff with required paperwork, as needed
Liaise with health insurance brokers to inform staff of any changes to benefits
Maintain secure files online and in cabinets

Miscellaneous

Goal: Cooperation with COO and other departments is realized in an effective way

Month End Close procedures
Document best practice processes for which there are no written procedures, keep accurate digital files
Become thoroughly familiar with computer operating systems
Provide administrative support to the COO as needed

Job Type: Full-time

Pay: $32.00 - $36.00 per hour
