Full Job Description

The Administrative Manager is responsible for supervising office operations and administrative staff as well as developing, reviewing, and enhancing policies, systems, and procedures to maintain smooth and efficient office operations. This position reports directly to the Director of Administration.

Administrative Managers are responsible for the following:

Hire, train, supervise, and evaluate administrative staff responsible for Accounts Payable, Accounts Receivable, Payroll, and administrative support.
Develop and implement office policies, procedures, and systems to improve efficiency.
Handle sensitive and confidential information with integrity and professionalism.
Conduct weekly meetings with administrative staff to monitor and project staffing needs.
Assist the Director of Administration with monthly labor accrual and reallocating costs for billing and financial accuracy.
Schedule and conduct monthly billing meetings with Account and Project Managers to review costs, percentage complete and bill projects accordingly.
Prepare and review month end reports and metrics.
Review and record monthly bank reconciliations in QuickBooks.
Monitor cash flow and calculate weekly cash assessments for review by Owner.
Review jobs approved for Market Recovery to submit monthly billing to Unions.

QUALIFICATIONS:

Qualifications and experience required include:

Computer savvy with Microsoft Excel, Outlook, and Word
QuickBooks
Ability to work in a fast-paced environment
Strong Organization skills
Strong background in administrative operations and payroll
Experience working in the union construction industry
Prior experience supervising administrative and accounting support functions

Pay: From $80,000.00 per year
