Overview

We are seeking a dynamic and friendly Front Desk Agent to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a smooth and professional experience from the moment they arrive. Your energetic approach and organizational skills will help foster a positive environment while managing administrative tasks efficiently. This paid position offers an exciting opportunity to develop your office management and customer service expertise in a fast-paced setting.

Responsibilities

Greet visitors and clients warmly, providing exceptional customer support and ensuring they feel valued and comfortable
Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
Handle data entry tasks with precision, maintaining accurate records in spreadsheets and office management software such as QuickBooks and Microsoft Office tools
Maintain the front desk area, ensuring it remains organized, welcoming, and professional at all times
Assist with administrative duties including word processing, proofreading, scheduling appointments, and managing correspondence
Support office management activities by coordinating supplies, managing incoming mail, and assisting with basic clerical functions
Communicate effectively with clients and team members through clear verbal communication and written documentation to ensure seamless operations

Requirements

Proven experience in office management or front desk roles with strong clerical skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software such as spreadsheets and data entry tools
Technical proficiency with computer literacy including typing speed, proofreading skills, and familiarity with office equipment
Excellent organizational skills with the ability to multitask efficiently in a busy environment
Strong customer service orientation with exceptional phone communication skills and professional phone etiquette
Bilingual abilities are highly desirable to support diverse client interactions
Previous experience using QuickBooks or similar accounting software is a plus
Personal assistant or administrative experience demonstrating time management and organizational skills is advantageous
