Bid Proposal Specialist

We are seeking a Bid Proposal Specialist with strong Elections and/or bid response experience to join our fast-paced, collaborative team in Albany, NY. This is a critical support role — ensuring our bids are competitive, compliant, and compelling.

Summary

As a Bid Proposal Specialist, you will be responsible for identifying, managing, and writing comprehensive responses to Requests for Proposals (RFPs) and related procurement documents. You will work closely with internal teams and external partners to ensure timely, accurate, and compelling submissions.

Key Responsibilities

Monitor and evaluate RFP, RFQ, and RFI opportunities via online portals and bid platforms.
Lead the end-to-end proposal development process: outlining, writing, editing, and assembling final submission packages.
Coordinate with subject matter experts, sales, and leadership to gather required information.
Ensure proposal compliance with all submission requirements, formatting, and deadlines.
Develop and maintain a centralized database of proposal content, templates, and previous submissions.
Manage proposal calendars, timelines, and internal approval workflows.
Track submission outcomes and identify opportunities for continuous improvement.
Serve as the primary point of contact for client proposal-related communications.

Additional Qualifications & Skills

Bachelor's degree in English, Communications, Business, or a related field is a plus.
2+ years of experience in proposal writing, bid coordination, or grant writing (public or private sector) is a plus.
Exceptional writing, editing, and organizational skills.
Strong understanding of procurement processes and document compliance.
Proficiency with Microsoft Office Suite (Word, Excel) and PDF editing tools.
Experience with bid platforms (e.g., SAM.gov, BidNet, GovWin, or similar) preferred.
Comfortable working on-site full time in a collaborative team environment.
Experience in industries such as Elections and Printing preferred.
Familiarity with federal, state, and local government procurement standards.
Knowledge of project management tools (e.g., Basecamp, Asana, Trello) is a plus.
