Full Job Description

We are seeking a dedicated and detail-oriented Account Reconciliation Specialist/Administrative Assistant to join our team. This role is essential in ensuring the accuracy and integrity of financial data through meticulous account reconciliation, data entry, and administrative support.

Job Type: Full-time

Pay: $20-$26 / Hour (based on experience)

Key Responsibilities:

Manage accounts payable and receivable processes, including invoice verification, payment processing and reconciling shipping invoices
Utilize QuickBooks Desktop to maintain accurate records
Conduct bank statement reconciliations and resolve discrepancies promptly
Assist with month-end closing activities by preparing journal entries and supporting documentation
Maintain organized records of financial transactions, vendor files, and administrative documentation
Provide administrative support including scheduling meetings, managing correspondence, and handling inquiries
Establish references and protocols for the office by outlining procedures for protection, new hires, retention and staff transfers
Provide orientation and training to new employees
Build and maintain strong relationships with promotional product vendors
Coordinate with IT Department on all office equipment needs

Qualifications:

Minimum of 2 years of experience in account reconciliation or related finance roles
Working knowledge with QuickBooks Desktop
Knowledge of accounting, data and administrative management practices and procedures
Knowledge of financial concepts including debits & credits, journal entries, balance sheet reconciliation, accounts payable/receivable management
Excellent organizational skills with attention to detail; capable of managing multiple priorities efficiently
Strong analytical skills with the ability to perform account analysis and identify discrepancies
Effective communication skills for collaborating across departments and supporting administrative functions

Work Schedule: Flexible within 8:00 AM - 5:00 PM - Monday through Friday

The successful candidate will be responsible for bookkeeping tasks involving accounts payable, accounts receivable, data entry, excel work and various small projects along with assisting in promotional product orders and sourcing. Must be well organized and enjoy the administrative challenges of supporting an office of diverse people.
