Full Job Description

Construction Administration Assistant

DGE Investments is seeking a highly organized and detail-oriented Construction Administration Assistant to support our growing construction and multifamily operations team. This position plays a critical role in contractor coordination, vendor management, project administration, purchasing, and financial tracking across multiple properties and projects.

The ideal candidate is proactive, analytical, professional, and capable of managing multiple priorities in a fast-paced environment.

Responsibilities

Collect and organize contractor bids and estimates for ongoing projects
Review contractor estimates for accuracy, scope alignment, and pricing discrepancies
Process and manage payroll invoices for approximately 50 contractors
Coordinate vendor onboarding, including gathering W-9s, insurance certificates, and completing credit applications
Prepare and follow up on bank inspection reports and project documentation
Reconcile company credit card statements for leadership team members
Track, reconcile, and reorder replacement materials and project supplies
Research appliances, HVAC systems, and related materials to obtain the best pricing and value
Negotiate pricing, terms, and service agreements with vendors and suppliers
Maintain accurate records, spreadsheets, and project tracking systems
Assist leadership with administrative and operational construction support tasks

Qualifications

Previous experience in construction administration, project coordination, property management, accounting, or a related field required
The ability proficiently read, speak, and write in Spanish is required for this role.
Strong organizational and multitasking skills
Excellent attention to detail and follow-through
Strong negotiation and communication skills
Proficient in Microsoft Excel, Word, and email communication
Ability to work independently and prioritize deadlines
Experience working with vendors, contractors, and purchase tracking preferred

Preferred Skills

Knowledge of construction terminology and project workflows
Experience with invoice processing and reconciliations
Familiarity with multifamily renovation or maintenance operations
Strong problem-solving and vendor relationship management abilities

Position Details

Full-Time
8:30 AM - 5:30 PM Monday- Friday
Must be able report to a Regional Office in San Antonio daily.
