Full Job Description

Job Summary

Eastern Medicine Center, an established acupuncture and alternative medicine clinic in Scottsdale, is seeking a warm, dependable, organized, and professional Front Desk & Patient Care Coordinator.

This is more than a traditional receptionist position. You will be the primary front-desk contact for our patients and will independently manage scheduling, phone calls, emails/texts, patient follow-up, treatment-room preparation, and daily front-office flow.

Reliability and accountability are essential. Because this is a key front-desk position, consistent attendance, punctuality, and dependable schedule commitment are required.

We do not process health insurance. This position does not involve insurance billing, verification, or prior authorization.

Your Schedule

Must be consistently available:

Monday 8:45a - 5:30p+-
Wednesday 8:45a - 1p+-
Friday 8:45a- 5:30p+-
Every other Saturday 8:30a-1:30p+-

Approximately 20–28 hours per week, in person.

Responsibilities

Arrive approximately 15 minutes before opening to prepare the front desk and treatment rooms.
Greet patients warmly and professionally.
Answer phones, emails, and text messages.
Schedule, confirm, and coordinate appointments.
Maintain smooth patient and treatment-room flow.
Follow up with prospective and existing patients.
Help prospective patients understand our services and confidently move forward with scheduling when appropriate.
Encourage patient engagement and reviews professionally.
Perform filing, data entry, and basic administrative duties.
Maintain organized and confidential patient records.
Communicate important patient or scheduling information to the doctor and team.
Manage multiple responsibilities calmly and accurately in a moderately fast-paced environment.

Qualifications

Required:

Minimum 3 years of front desk, receptionist, patient-care coordination, customer service, or similar client-facing experience
5+ years of professional work experience preferred
Excellent reliability, attendance, and work ethic
Strong verbal and written English communication skills
Excellent organization and multitasking ability
Professional telephone and customer-service skills
Comfortable with computers, email, scheduling systems, and Google Workspace
Able to work independently and take ownership of responsibilities
Must currently live in Arizona and reliably commute to Scottsdale
