The HubSpot Administrator partners with the Marketing, Operations, and Technology teams to own the configuration, deployment, and ongoing optimization of HubSpot across the Aqua-Tots ecosystem. This person is accountable for completing the multi-school rollout, auditing and remediating the existing build, and ensuring HubSpot is reliably and effectively used by every team that depends on it — from corporate marketing to franchise owners to school operators.
Principal Job Duties and Responsibilities
The HubSpot Administrator is accountable for the configuration, performance, and adoption of HubSpot across the Aqua-Tots ecosystem. This includes but is not limited to:
● Platform Administration
○ Configure and maintain HubSpot Hubs (Marketing, Sales, Service, Operations) per agreed business requirements
○ Manage user accounts, teams, permissions, and access controls across corporate and franchise locations
○ Maintain data integrity through standardized property structures, deduplication, and ongoing data hygiene routines
○ Monitor system health, usage, and performance; troubleshoot and resolve platform issues as they arise
● Multi-Location Rollout
○ Lead the deployment of HubSpot to remaining Aqua-Tots schools, partnering with regional and franchise leaders
○ Build and maintain location-aware lifecycle stages, lead routing, and reporting
○ Document standard operating procedures and train operators so the platform is adopted, not just deployed
● Audit & Remediation of the Existing Build
○ Conduct a written audit of the current HubSpot instance within the first 90 days, prioritized by business impact
○ Execute the remediation plan in partnership with marketing leadership and the existing integration partner
○ Establish standards and a change-control process so the build does not drift again
● Workflows, Automation & Integrations
○ Design, build, and maintain automation workflows that support marketing, sales, and customer success
○ Own the technical relationship with integrated systems (web forms, scheduling, payment, BI, and other connected tools)
○ Coordinate with vendors and the integration partner on technical issues and ongoing improvements
● Reporting & Insight
○ Build and maintain dashboards that surface lead, pipeline, and customer-experience performance to executives and franchise owners
○ Translate platform data into actionable recommendations for marketing leadership and the executive team
● Stakeholder Enablement
○ Train marketing, sales, and franchise teams on HubSpot best practices
○ Create and maintain documentation, runbooks, and an internal knowledge base
○ Serve as the primary point of contact for HubSpot questions, requests, and escalations
● Vendor & Agency Management
○ Hold integration partners and consultants accountable for deliverables and standards of performance
○ Evaluate add-on tools, apps, and partners as the platform and the business evolve
● Perform other duties and projects as assigned

Minimum Qualifications:
● Bachelor’s degree or equivalent professional experience
● 4–7 years of hands-on HubSpot administration experience, including ownership of at least one multi-location or multi-brand HubSpot rollout
● HubSpot certifications in Marketing Hub Implementation, Sales Hub Implementation, and Reporting (or willingness to obtain within 90 days of hire)
● Demonstrated experience auditing and remediating an inherited HubSpot instance
● Strong working knowledge of CRM data models, lifecycle stages, lead scoring, marketing automation, and attribution
● Experience integrating HubSpot with adjacent systems (e.g., scheduling, payment, web forms, BI / data warehouse)
● Knowledge of and skill in using application software including Word, Excel, Microsoft Outlook, and Internet functionality
● Strong critical thinking skills and a proactive approach to problem solving
● Ability to plan and set priorities to achieve business objectives in a fast-paced organization
● Ability to communicate effectively with both technical and non-technical audiences
● Ability to think strategically, demonstrate agility, design clean systems, apply business acumen, and promote teamwork
● Ability to establish credibility and communicate effectively both verbally and in writing
● Ability to travel and work a flexible schedule including evenings and weekends as needed
● Helpful, but not required: HubSpot Solutions Partner agency background; franchise or multi-location operating-model experience; familiarity with AI tooling layered on top of HubSpot (e.g., Breeze, Clay, n8n, custom GPT workflows)

Pay: $85,000.00 - $95,000.00 per year
