Role Description
This is a full-time, hybrid role based in the Scottsdale / Phoenix area (local candidates strongly preferred) providing high-level administrative, organizational, and personal support to the CEO. The Executive Assistant serves as the CEO's right hand — anticipating needs, protecting time, and keeping a fast-moving executive several steps ahead.
Day-to-day responsibilities include managing the CEO's calendar, coordinating meetings, preparing agendas and briefing materials, and handling confidential correspondence. The role involves organizing complex domestic and international travel, preparing and tracking expense reports, and ensuring timely follow-up on action items and strategic initiatives. The Executive Assistant will streamline communication between the CEO and internal/external stakeholders, maintain accurate records, and support board and leadership meetings as needed.
Importantly, the CEO operates with a tightly integrated work-and-life rhythm. This role supports both professional and personal priorities as a core, expected part of the position — not an occasional add-on. The role is weighted heavily toward professional support (roughly 80%+), with the remainder dedicated to personal and lifestyle coordination. Candidates should be genuinely comfortable operating across both worlds with discretion and ease.
This position requires proactive coordination, strong judgment, and the ability to anticipate needs in a fast-paced, mission-driven environment.
Qualifications
- Strong executive administrative and executive-support skills, including handling confidential information and supporting C-level leaders.
- A genuine understanding that this role supports the CEO's integrated work/life rhythm, with comfort assisting across both professional and personal priorities.
- Proficiency in administrative tasks such as document preparation, meeting coordination, and follow-up on action items.
- Experience with complex calendar and diary management, including scheduling across time zones and prioritizing competing demands.
- Ability to prepare, reconcile, and maintain accurate expense reports and travel documentation.
- Excellent written and verbal communication skills, with attention to detail and professional presentation.
- Advanced proficiency in productivity and collaboration tools (MS Office or Google Workspace, virtual meeting platforms).
- Strong organizational and time-management abilities, with a track record of working independently.
- Demonstrated discretion, integrity, and reliability with sensitive information and high-level stakeholders.
- Previous experience supporting executives in technology, sustainability, or a related industry is beneficial.
- Relevant education or training in business administration, management, or a related field is preferred.
Pay: $70,000.00 - $88,000.00 per year
