Full Job Description

POSITION SUMMARY

The Homeowner Program Assistant is a position responsible for supporting clients to access NeighborWorks Northeastern Pennsylvania (NWNEPA) services by determining their needs, processing intakes and personal documentation to connect them with HUD Certified Housing Counselors for effective service delivery. The Assistant will act as a first point of contact for clients who are homeowners facing foreclosure or other housing instability concerns. The Assistant will provide administrative support to program staff and clients. Strong candidates will have excellent communication skills, able to work with those faced with difficult circumstances, and will possess the qualities needed to create a positive first impression of our organization and our mission.

PRIMARY RESPONSIBILITIES

Client Intake:

Ability to listen, hear, and respond to clients’ concerns while offering reassurance and guide clients through the intake process.
Triage new client inquiries from incoming calls, emails, and walk-ins to assess eligibility for services.
Schedule and meet one on one with new clients by interviewing them courteously and professionally and asking them to complete necessary forms. Obtain pertinent information from new clients, set tone for services, and assess clients needs.
Send, monitor, receive, and review intake forms for clients to receive services
Work with eligible clients to gather necessary forms and documentation from them for services
Review client financial documents to create monthly income/expense budgets
Complete and submit applications with clients to connect with community resources.
Assign and schedule new clients to Counselor(s) for services
Enter documentation and client data into electronic Client Management System (CMS)
Refer callers, when necessary, to other organizations/agencies for additional services
Respect client’s dignity and confidentiality at all times

Administrative Support:

Enroll clients into court programs, communicate with local county courts and attorneys.
Assist Housing Counselor(s) with gathering necessary documents from clients, compiling, sending and tracking communications with an adherence to strict due dates
Track and document communications, including sending items with tracking and verifying receipt to third parties
Work in a positive, fast-paced team environment with NWNEPA program and staff
Assist ongoing with client scheduling and follow up documentation
Maintain and update files
Assist with quality control and reporting through retrieving and tracking pertinent information
Implement and maintain computer-based data management systems including electronic filing, forms, scheduling, and client management system.
Participate in staff meetings, trainings and other key meetings as assigned

EDUCATION & EXPERIENCE

High School Diploma required
Must have demonstrated customer service experience
Must have at least 6 months experience working in an office environment
Knowledge of mortgage lending or legal services such as loan origination preferred
Notary or ability to become a notary preferred
Bilingual in Spanish (must have)

Proficiency in data entry and experience with Client Management Systems
Strong organizational skills with the ability to multi-task
Excellent time management skills with a focus on deadlines and prioritization of work duties
Ability to adapt services and engagements based on clients individual needs
Willingness to change as services, client needs, and technology evolve
Proficient in Microsoft Office Suite (Word, Excel, Outlook and PowerPoint) and internet navigation.
Must be able to work Monday – Friday, occasional evenings
