Full Job Description

Full Time, Non-Exempt Position
Wage Range: $27.64 - $30.77 per hour
Schedule: 40 hours per week, primarily Monday–Friday, with some evening and weekend hours required based on volunteer and organizational needs

About the Position
Reporting to the Development & Communications Manager, the Volunteer & Development Coordinator helps people find meaningful ways to participate in the life and work of Aurora Commons. This position coordinates the volunteer program while supporting donor engagement, community partnerships, fundraising activities, and organizational events.

The role combines relationship-building with strong administrative coordination. Working closely with Development and Program staff, the Coordinator creates welcoming and accessible experiences for volunteers, donors, partners, and supporters while maintaining the systems and follow-through that make those relationships possible.

The Volunteer & Development Coordinator must be able to maintain focus and follow-through while navigating a dynamic and complex environment where priorities and circumstances can shift quickly. Success in this role requires adaptability, flexible and analytical thinking, thoughtful decision-making, and the ability to respond to challenging or emotionally charged situations with empathy, professionalism, and effective communication. The Coordinator is expected to work with initiative while also proactively seeking supervisory input, information, and resources when needed.

Job Duties:

The following responsibilities are intended to describe the general nature and scope of work performed in this role and are not intended to be a comprehensive list of all duties. Responsibilities may evolve or change based on organizational, operational, and community needs. Additional duties may be assigned as needed.

Volunteer Coordination

Serve as the primary point of contact for volunteers and cultivate a welcoming, mission-aligned volunteer experience grounded in hospitality, dignity, and connection.
Recruit, assess, orient, train, schedule, retain, and give feedback to volunteers for effective program support, organizational activities, special events, and community activities.
Respond to volunteer inquiries, emails, phone calls, and communications in a timely and professional manner.
Foster positive relationships with volunteers to model and teach Aurora Commons’ mission, philosophy of care, trauma-informed practices, and volunteer expectations.
Work alongside volunteers within the Commons space to support orientation, relationship-building, and ongoing volunteer engagement.
Collaborate with Program Manager and Drop-In Services Coordinator to identify and prioritize volunteer needs to support effective volunteer placement.
Coordinate volunteer application processes including background checks, onboarding, and documentation.
Regularly host and supervise volunteers for service roles outside of programming hours, including some evenings and weekends.

Development & Donor Support

Support the Development & Communications Manager with donor stewardship, project management, grant writing, fundraising activities, communications, and community engagement efforts.
Assist with gift processing, donor acknowledgments, and donor database management.
Support fundraising campaigns, donor outreach, and stewardship initiatives.
Assist with preparing materials and logistics for fundraising events, donor communications, and special campaigns.
Assist Development & Communications Manager & program leads with in-kind donation solicitation and the maintenance of accurate records related to community partnerships.

Special Events & Community Programming

Support planning and coordination of fundraising events, volunteer appreciation activities, and special programming as needed.
Assist with event logistics, setup, hospitality, communication, and volunteer coordination for organizational events and gatherings.
Help create welcoming and community-centered experiences for volunteers, neighbors, donors, and guests.

Administrative Support & Documentation

Maintain volunteer databases, online sign-up systems, and volunteer scheduling tools.
Track and maintain accurate records of volunteer hours, donor engagement, in-kind donations, community partnerships, and related program data within database systems.
Maintain organized documentation related to community partnerships and necessary volunteer qualifications (trainings, background checks, certifications, etc.).
Assist with monthly reporting and administrative documentation for leadership and Board reports.
Submit receipts, invoices, and related documentation in accordance with organizational procedures.
Support internal communication and coordination using organizational systems including email, Google Workspace, Slack, and donor management platforms.

Team Collaboration & Organizational Support

Work collaboratively with program staff, leadership, volunteers, and community partners to support Aurora Commons’ mission and daily operations.
Participate in staff meetings, trainings, fundraising events, and organizational activities as needed.
Support a collaborative, trauma-informed, and relationship-centered workplace culture.
Other duties as assigned.

Required Qualifications

Minimum of one year of experience coordinating volunteers, with demonstrated ability to recruit, engage, and retain volunteers.
Must be able to work daytime, and occasional evening and weekend hours based on program needs and volunteer availability.
Proficiency with Google Workspace (Gmail, Drive, Forms, etc.) and Microsoft Office applications, including Word and Excel.
Demonstrated success working collaboratively with other staff toward a shared mission.
Ability to communicate effectively, respectfully, and kindly with people of varied racial, ethnic, cultural, socioeconomic, sexual orientation, gender identity, and ability backgrounds.
Ability to work independently, exercise sound judgment, and proactively seek guidance, information, or support when needed.
Willingness and ability to remain flexible and responsive to shifting organizational, program, and community needs.
Strong organizational skills, with the ability to manage multiple responsibilities, maintain accurate records, and consistently follow through on commitments.
Reliable transportation, a valid driver's license, and automobile insurance.
Employment is contingent upon successful completion of a criminal background check in accordance with organizational policy and applicable law.

Additional Preferred Qualifications

Bachelor’s degree or equivalent work experience.
Experience working with adults experiencing homelessness, poverty, housing instability, or similar circumstances.
Experience with donor databases or CRM systems, gift processing, donor recordkeeping, or other development administration.
Demonstrated initiative, adaptability, and problem-solving skills.
Professional experience with event planning, communications, or resource development.
Effective organizational, problem-solving, and written and oral communication skills.
Knowledge of the ways in which working with people who have experienced trauma, domestic violence, and sexual assault can impact others through secondary trauma or vicarious trauma.
