Position Summary:
The Admissions & Enrollment Coordinator serves as the primary point of contact for prospective families and is responsible for managing the complete enrollment journey from initial inquiry through enrollment, onboarding, and transition into the school community.
This position plays a critical role in supporting the school's enrollment objectives by building strong relationships with prospective families, managing the admissions pipeline, conducting tours, coordinating enrollment activities, and ensuring an exceptional family experience throughout the admissions process.
The Admissions & Enrollment Coordinator works closely with the Head of School, Business Director, Marketing & Enrichment Program Director, Toddler Program Coordinator, Early Childhood Program Coordinator, Elementary Program Coordinator, faculty, and administrative staff to ensure families receive accurate information, timely communication, and a seamless enrollment experience.
As a representative of The Sammamish Montessori School, this individual serves as an ambassador for the school, helping families understand the value of Montessori education and the unique programs offered at SMS.

Essential Responsibilities - Admissions & Enrollment Management
- Serve as the primary contact for prospective families from inquiry through enrollment.
- Respond promptly and professionally to admissions inquiries via phone, email, website, and in-person visits.
- Conduct campus tours, information sessions, and admissions meetings for prospective families.
- Guide families through the admissions and enrollment process, including application completion and required documentation.
- Review student applications, immunization records, enrollment forms, and supporting materials for completeness and compliance.
- Coordinate student visits, classroom observations, and parent meetings as part of the admissions process.
- Maintain and manage waitlists, enrollment offers, and acceptance communications.
- Support annual re-enrollment efforts and student retention initiatives.
- Assist with placement recommendations in collaboration with Program Coordinators and school leadership.
- Monitor classroom capacity and enrollment availability to support school-wide enrollment planning.
- Ensure all admissions and enrollment records are accurate, complete, and maintained in accordance with school policies.
Family Experience & Relationship Building
- Build and maintain positive relationships with prospective and current families.
- Provide exceptional customer service throughout the admissions and onboarding process.
- Educate families about Montessori philosophy, school programs, curriculum offerings, enrichment opportunities, and school culture.
- Answer questions regarding enrollment procedures, tuition, schedules, school policies, and program options.
- Coordinate onboarding activities for newly enrolled families.
- Support new family orientation events and transition activities.
- Maintain regular follow-up communication with prospective families to support enrollment conversion and retention.
- Create a welcoming and professional experience that reflects the values and culture of SMS.
Enrollment Growth & Community Outreach
- Support achievement of annual enrollment and retention objectives.
- Manage prospective family pipelines and enrollment conversion activities.
- Partner with the Marketing & Enrichment Program Director on admissions campaigns, open houses, information nights, and community outreach initiatives.
- Participate in recruitment events, school tours, and enrollment-related programs.
- Represent SMS professionally at community events and networking opportunities.
- Assist in developing and maintaining referral relationships within the local community.
- Support initiatives designed to increase awareness and visibility of the school.
- Track inquiry, tour, application, enrollment, and retention metrics.
- Provide enrollment reports and forecasting information to school leadership.
Cross-Functional Collaboration
- Work closely with the Marketing & Enrichment Program Director to align admissions activities with marketing initiatives, lead-generation efforts, and enrollment goals.
- Partner with Toddler, Early Childhood, and Elementary Program Coordinators to coordinate classroom observations, student visits, and program-specific admissions decisions.
- Collaborate with Program Coordinators and faculty to ensure appropriate student placement and successful classroom transitions.
- Coordinate enrollment projections, classroom availability, and waitlist management with school leadership.
- Facilitate communication between prospective families and appropriate school personnel when program-specific questions arise.
- Support onboarding and transition activities to ensure a positive experience for newly enrolled families.
- Participate in admissions, enrollment, retention, and strategic planning discussions as requested.
- Work collaboratively with administrative staff to ensure smooth registration, billing setup, student records management, and family communications.
Data Management & Administrative Responsibilities
- Maintain accurate records in the school's Student Information System and admissions databases.
- Track inquiries, applications, enrollments, waitlists, withdrawals, and retention data.
- Generate admissions and enrollment reports for school leadership.
- Monitor enrollment trends and identify opportunities to improve enrollment processes and outcomes.
- Ensure compliance with state licensing requirements and school policies related to admissions documentation.
- Maintain confidentiality of student, family, and employee information.
- Assist with administrative projects related to enrollment, registration, and family communications.
- Support preparation of enrollment projections and annual planning information.
Qualifications - Required
- Bachelor's degree in Education, Communications, Business, Marketing, Public Relations, Counseling, or a related field.
- Previous classroom experience in a Toddler (18-36 months), Early Childhood, or Elementary environment (3-12 years) is required. Montessori classroom experience is preferred.
- Strong understanding of Montessori philosophy, child development, and Montessori educational practices.
- Minimum two years of experience in admissions, enrollment management, customer service, education, sales, relationship management, or a similar family-facing role.
- Exceptional verbal, written, presentation, and interpersonal communication skills, with the ability to build trust, establish rapport, and effectively communicate Montessori philosophy, educational programs, and school values to prospective and current families.
- Strong relationship-building skills and a demonstrated ability to engage with families from diverse backgrounds.
- Excellent customer-service skills and a professional, welcoming demeanor.
- Exceptional organizational skills with strong attention to detail and follow-through.
- Ability to manage multiple priorities, deadlines, and competing demands in a fast-paced environment.

Preferred
- Montessori credential (AMS, AMI, MACTE-accredited, or equivalent).
- Experience in admissions, enrollment management, family engagement, marketing, or school administration.
- Experience with enrollment management systems, CRM platforms, Transparent Classroom, Procare, or similar software.
- Experience planning and coordinating tours, open houses, parent education events, and community outreach initiatives.
- Experience working in an independent school, private school, Montessori school, or early childhood education environment.
- Bilingual communication skills.

Schedule
Full-Time: Monday – Friday, 8:30 AM – 4:30 PM
Occasional evening or weekend hours may be required to support admissions events, open houses, community outreach activities, enrollment meetings, and other school functions.
