Full Job Description

Custom Cones USA is looking for an Associate Vendor Manager. This is a hands-on role for someone who’s energized by getting the details right and equally eager to take on bigger problems as they ramp up.

You’ll be the link between our overseas vendors, our sales team, and our warehouse: keeping custom orders moving, catching issues before they turn into delays, and building the documentation and processes the whole team runs on. The day-to-day is detailed and sometimes repetitive — but if you’re the kind of person who fixes the broken thing instead of just flagging it, you’ll have real room to grow here.

What you’ll own:

Keep custom orders moving

Drive custom orders from quote through production to delivery, partnering with sales and the warehouse to keep every order on track.
Spot stuck or at-risk orders early, dig into the root cause, and push them to resolution.
Communicate and escalate meaningful updates, changes, and delays to the right teams before they become problems.
Create, revise, and reconcile purchase orders — quotes, contracted costs, quantities, and cost discrepancies.
Maintain specification accuracy across the mockup, sample, and production stages (via PowerApps).

Manage vendor relationships and communication

Be the day-to-day point of contact for assigned vendors, and follow up persistently on open issues until they’re actually closed — vendors shouldn’t have to be chased, and neither should you.
Prepare for and participate in bi-weekly meetings with overseas vendors.
Keep vendor records accurate and current — capabilities, contacts, addresses, limitations — and push changes out to the teams that need them.
Guide vendors through our custom order process and hold them to our procedures.

Build and improve how we work

Write, update, and own SOPs so the team always has clear, current processes to follow.
Keep our knowledge base / wiki accurate and genuinely useful as processes evolve.
Look for ways to make recurring work faster, clearer, and less error-prone — and document what you improve so it sticks.

Support quality & compliance

Partner with the Compliance Manager to collect required material documentation.
Work with the QC team to verify product measurements and specifications.
Hold vendors to production-status reporting, QC standards, and shipping requirements.

What you’ll need:

Must have:

Bachelor’s degree or equivalent experience.
1–2 years in vendor management, procurement, supply chain, operations, or a related order-management role.
Comfort owning detailed, recurring work without losing accuracy.
Strong written and verbal communication.
Proficiency with Excel, Outlook, and Teams.
The ability to juggle multiple priorities and deadlines at once.

Bonus points for:

Ecommerce or consumer-products vendor experience.
Experience writing or improving SOPs and process documentation.
Familiarity with purchase orders and basic production / order-management concepts.
Experience working with overseas vendors.

Pay: $28-29/hr
