SeaTac, Washington

Salary Range: $81,000–$90,000 annually
Additional Compensation: Eligible to participate in the hotel’s Sales Incentive Plan, subject to plan terms and performance requirements.

About the Hotel

The Hilton Seattle Airport & Conference Center is a full-service hotel conveniently located near Seattle-Tacoma International Airport. The hotel features 396 guest rooms, 15 meeting rooms, and more than 36,000 square feet of event space, including an expansive ballroom, outdoor courtyard, and flexible meeting and conference facilities. Position Summary

The Event Manager is responsible for the successful planning, coordination, and execution of meetings, conferences, weddings, social functions, and other hotel events. Following the completion of the sales process, the Event Manager serves as the primary contact for assigned clients and works closely with hotel departments to ensure each event is executed according to the client’s expectations, contractual commitments, Hilton brand standards, and the hotel’s operational and financial objectives.

This position requires strong organization, communication, relationship-management, and problem-solving skills, along with the ability to manage multiple events and competing priorities in a fast-paced hospitality environment.

Essential Duties and Responsibilities

Serve as the primary hotel contact for assigned clients throughout the event-planning and execution process.
Obtain, confirm, and communicate all event requirements, including meeting-room arrangements, guest-room needs, food and beverage selections, menus, audiovisual services, timelines, billing instructions, and special requests.
Prepare, distribute, and maintain accurate Banquet Event Orders (BEOs), event resumes, group resumes, diagrams, agendas, and related event documentation.
Conduct planning meetings, site visits, pre-conference meetings, and post-event reviews with clients and internal departments.
Coordinate event details with Sales, Banquets, Culinary, Food and Beverage, Front Office, Housekeeping, Engineering, Accounting, Security, and other hotel teams.
Maintain timely and accurate communication regarding event changes, deadlines, guarantees, deposits, contracts, and operational requirements.
Monitor assigned events on-site, as appropriate, to ensure service quality, guest satisfaction, and adherence to event specifications.
Anticipate potential challenges and respond promptly and professionally to client concerns, operational changes, and service issues.
Develop strong client relationships that support guest loyalty, repeat business, and positive referrals.
Identify and present appropriate opportunities to enhance events through additional food, beverage, audiovisual, guest-room, and event-service offerings.
Review banquet checks, invoices, master-account charges, deposits, and final billing for completeness and accuracy.
Conduct post-event follow-up to evaluate client satisfaction, address outstanding matters, and identify future business opportunities.
Maintain accurate client, event, revenue, and activity information within applicable hotel systems.
Support established revenue, guest-satisfaction, service-quality, and departmental performance goals.
Follow Hilton brand standards and all hotel policies, procedures, safety practices, and applicable federal, state, and local requirements.
Maintain the confidentiality of hotel, guest, employee, financial, and proprietary information.
Perform other job-related duties as assigned.

Required Qualifications

At least two years of hotel event management, conference services, catering, sales, or comparable hospitality experience.
Demonstrated experience planning and executing meetings, conventions, weddings, corporate programs, or social events.
Strong organizational and project-management skills, with the ability to manage multiple events, deadlines, and priorities simultaneously.
Excellent written, verbal, and interpersonal communication skills.
Strong client-service, negotiation, judgment, and problem-solving abilities.
Ability to work independently while collaborating effectively with operational and leadership teams.
Proficiency with Microsoft Office applications and the ability to learn hotel-specific technology.
Ability to work a flexible schedule based on business needs, including early mornings, evenings, weekends, and holidays.

Preferred Qualifications

Experience in a full-service hotel, conference center, resort, or similarly complex event environment.
Experience using Delphi.fdc or another sales and catering platform.
Experience preparing and managing BEOs, event resumes, rooming lists, diagrams, and group billing.
Familiarity with hotel property-management, point-of-sale, audiovisual, and event-diagramming systems.
Bachelor’s degree in hospitality management, business, event management, or a related field. Equivalent relevant experience may be considered.

Work Environment and Physical Requirements

This position works primarily in a hotel and conference-center environment and requires regular movement throughout guest, meeting, banquet, restaurant, and back-of-house areas.

The employee must be able to perform the essential functions of the position, with or without reasonable accommodation. The role may require prolonged periods of sitting, standing, or walking; using a computer and telephone; reviewing detailed event materials; and occasionally lifting, carrying, pushing, or moving event-related materials weighing up to 25 pounds.

Work schedules may vary according to hotel occupancy, event activity, and business needs.

Compensation and Benefits

The salary range for this position is $81,000–$90,000 annually. Placement within the range will be based on relevant experience, qualifications, skills, and other job-related considerations.

The selected candidate will also be eligible to participate in the hotel’s Sales Incentive Plan, subject to the terms, eligibility requirements, performance measures, and payment provisions of the applicable plan.
