JOB SUMMARY This position is responsible for enrolling new students, entering and maintaining student course registration, grading data, records and related confidential materials; supports the counseling office of a middle school; provides secretarial and other support services to students, staff, counselors, parents, administrators, intervention and enforcement personnel, and the public; promotes positive public relations for the counseling office, the school, and the district.
DUTIES AND RESPONSIBILITIES This list of essential functions is not exhaustive and may be supplemented as necessary in consultation with the employee(s) involved.

Enters, updates, and maintains confidential student data, documentation, grades, and computer records into the student information system. Maintains security of and access to the student information system; prepares and generates reports for administrators, staff, and district on ethnicity, grades, demographics, etc., and prepares monthly census reports.

Inputs student registration data, class schedule changes, attendance waivers, grades, grade changes, and other information involving student transcripts and academic records; reviews and processes requests for student records and transcripts; enrolls and creates files for new students; provides information on grading system to students, parents, and staff; inputs master schedule into the student information system.

Provides support to counselors, administrators, and resource personnel. Creates grade and other reports, forms, grade failure notices, test score notices, and related materials.

Selects, trains, supervises, and grades student assistants.

May greet students, administrators, staff, parents, and visitors entering the school; answers the telephone and responds to inquiries and/or records messages for staff, and resource personnel; takes messages from parents, and other relevant parties, to deliver to students.

May assist front office staff when needed; may manage special assignments such as student lockers, lost and found items, student passes, and free or reduced lunch applications.

REPORTING RELATIONSHIP
Reports to the Principal or designee.
WORKING CONDITIONS
Works in an open office environment; frequent interruptions; daily and prolonged exposure to visual display terminal; may be exposed to high noise levels from student activity and visitors; may be exposed to students with infectious diseases; frequently deals with upset parents, students, or staff; may have to sit for prolonged periods of time.
MINIMUM QUALIFICATIONS
Education and Experience
High school graduation or equivalent with two or more years of office experience preferably involving computer and record-keeping skills; experience working with adolescents and the public; school district work experience preferred.
Allowable Substitution
Training in computer skills and record-keeping may substitute on a month-to-month basis for up to one year of the required experience.
Knowledge, Skills, and Abilities
Knowledge of correct grammar, spelling, and English usage; keyboarding skills at 50 words per minute; knowledge of general secretarial procedures; ability to operate office equipment; good telephone skills; ability to maintain confidential information and records; ability to organize and set priorities; ability to work independently with minimal supervision; ability to coordinate assignments and deadlines from multiple staff members; ability to read, speak, write, and compute effectively; ability to exercise independent judgment, remain flexible, and work effectively under pressure; ability to interact with adolescents and parents in a warm, caring, and confident manner; ability to establish and maintain effective working relationships with staff and the public.
SALARY: Salary is based upon the current 2025-26 NEOPA Salary Schedule Salary (Level G); placement on the salary schedule will be determined by Human Resources DOE. FLSA Non-Exempt. Steps 10, 12, and 15 are longevity steps.
WORK YEAR: 239 days per year, 8.0 hours per day
