Job Description: Procurement Specialist

Position Title: Procurement Specialist
Department: Purchasing
Reports To: Senior Purchaser
Location: Kent, WA

Position Overview:

The Procurement Specialist is responsible for managing the procurement process to ensure the timely acquisition and delivery of materials and services. This role involves handling electronic and physical submittals, maintaining materials lists, communicating with vendors, and managing purchase orders and invoices. The ideal candidate will have strong organizational skills, attention to detail, and the ability to work effectively with vendors and internal teams.

Key Responsibilities:

Electronic and Physical Submittals: Manage and process all electronic and physical submittals related to procurement.
Materials List Management: Prepare and maintain up-to-date materials lists following internal paperwork processes.
Vendor Communication: Communicate directly with vendors to coordinate procurement activities, resolve issues, and gather information.
Material Procurement: Oversee 100% of material procurement, including shipping, price verifications, and tracking to ensure timely delivery.
Purchase Order Entry: Enter purchase orders into QuickBooks and monitor for accuracy.
Invoice and Shipment Discrepancies: Resolve discrepancies related to invoices and shipments in a timely manner.
Lead Time and Product Data: Respond to requests for lead times, product data, and other procurement-related information.
Will Call and Delivery Organization: Handle will call, manage bill of lading, and organize material delivery documents.
REQ and Vendor Credit Tracking: Track all REQ's (Requisitions) and ensure vendor credits due are managed appropriately.
Claims Assistance: Assist with claims as needed, ensuring timely resolution.
TBD Tracking: Monitor and track TBD's (To Be Determined) to ensure timely follow-up and resolution.
Vendor Price Lists: Maintain and distribute up-to-date vendor price lists to relevant stakeholders.
Deadlines Management: Ensure deadlines for submittals, samples, and material ETA are met.

Skills Needed:

Multitasking and Stress Management: Ability to handle multiple projects simultaneously and work well under pressure.
Professionalism and Flexibility: Demonstrate a professional attitude and flexibility to meet the needs of clients and internal stakeholders.
Microsoft Office Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
Deadline Management: Ability to meet deadlines in stressful situations with accuracy and efficiency.
Strong Communication Skills: Excellent verbal and written communication skills for effective interaction with vendors and team members.
Mathematical and Analytical Skills: Strong math skills for price calculations, cost analysis, and budget management; ability to analyze data and make informed decisions.
Organizational Skills: Ability to manage, prioritize, and organize a heavy workload while maintaining attention to detail.
Team Collaboration: Ability to work alongside and under the direction of the Senior Purchaser, contributing to the team’s success.

Qualifications:

Experience: Minimum of 2 years of experience in procurement or a similar role in commercial construction.

Working Conditions:

This position is initially a full-time office position. There will be considerations made for eventual hybrid work schedule
Should this position become a hybrid work schedule, that will be defined as three days per week in the office and two days working from home.
