SUMMARY
The Administrative Assistant is responsible for all confidential secretarial duties and clerical assignments of the Director of Special Education, K-26.
ESSENTIAL DUTIES AND RESPONSIBILITIESinclude the following. Other duties may be assigned.
Assist the Director of Special Education, K-26 in the day-to-day operations of the ISD Special Education Department to include:
· Maintain a high level of confidentiality.
· Coordinate, monitor and, as assigned, assist with the Special Education budget and K-26 grants to include all financial activities for the department and program area.
· Review and prepare purchase orders as assigned for K-26 Special Education.
· Maintain all Special Education administrative office records and files for K-26 Special Education.
· Provide research information and data as requested by the Director.
· Audit forms for travel requests and travel reimbursement, assign account numbers and
distribute as appropriate for K-26 Special Education staff.
· Coordinate the preparation and distribution of staff information.
· Schedule appointments and maintain Director’s calendar.
· Provide information and serve as a point of contact between the ISD programs and local districts/other agencies as appropriate.
· Coordinate, schedule, prepare/distribute agenda materials and record minutes of all K-26 Special Education administrative meetings: K-26 Curriculum, IEP Compliance, Grants, Staffing, Assessment and other items as assigned.
· Manages/maintains office area to include ordering supplies, orderly filing of staff and student records, adheres to general office housekeeping practices, and completes minor office equipment maintenance for K-26 Special Education staff.
· Provides office support as assigned by the administration, i.e., types and distributes agendas and memos, documents such as letters, memos, reports and forms.
· Assists other staff and departments where appropriate.
· Be present in buildings with regular and continued attendance and punctuality.
· Follow all Board Policies, Staff Handbook and Administrative Guidelines.

EDUCATION and/or EXPERIENCE
High School Graduate or Equivalent with a minimum of 3 years clerical experience.
30 credit hours in related field or CPS preferred.
CERTIFICATES, LICENSES, REGISTRATIONS
Valid Driver’s License required.
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from staff, clients, customers, and the general public.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts. Ability to apply concepts of basic cost accounting principles.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

While performing the duties of this job, the employee is frequently required to sit and talk or hear and operate a computer. Pay: $49,149.00 - $68,233.00 per year
