Full Job Description

Position Overview

We are seeking a detail-oriented, highly organized Legal Billing & Accounting Specialist to join our team in New York, NY. This hybrid role manages the full cycle of legal billing, accounts receivable, and accounts payable. The ideal candidate will possess a strong background in law firm accounting, exceptional communication skills for coordinating with attorneys and clients, and the ability to navigate e-billing platforms and client guidelines seamlessly.

Key Responsibilities:

Legal Billing & Accounts Receivable (AR)

Monthly Billing Cycle: Coordinate and maintain monthly billing for assigned attorneys, executing complex bills accurately and in strict compliance with client guidelines.
Billing Adjustments: Process billing edits, write-offs, transfers, and time/expense adjustments; review time entries for correct rates and proper presentation.
E-Billing Management: Use legal billing software to generate LEDES files. Address e-billing issues, rejections, and compliance errors to ensure timely and accurate submission through client portals.
Compliance Monitoring: Monitor and maintain compliance with client billing guidelines; review new and updated guidelines to ensure proper system setup.
Team & Vendor Coordination: Coordinate with the internal Billing team on timekeepers, rates, budgets, and other client-required data. Liaise with e-billing vendors for system maintenance and troubleshooting.
Attorney Liaison: Respond to attorney inquiries regarding invoice status, approvals, and payment delays; advise on e-billing best practices and client guidelines.
Reporting & Analysis: Prepare and analyze financial reports (including AR Summary, Billing History, and Aged WIP) and provide supporting documentation for clients, attorneys, and internal teams.
Collections Support: Support the Collections team with AR monitoring, e-bill rejections, deductions, appeals, and billing-related discrepancies.
Payment Application: Apply payments accurately in QuickBooks and maintain detailed, up-to-date client account records.
Dispute Resolution: Reconcile discrepancies and resolve billing issues directly with attorneys and clients.

Accounts Payable (AP)

Invoice Processing: Process vendor invoices, expense reports, and check requests efficiently.
Expense Coding: Ensure proper ledger coding and necessary internal approvals for all firm expenses.
Payment Execution: Schedule and execute payments via checks, ACH, and wire transfers.
Vendor Management: Maintain accurate vendor records and serve as the primary point of contact for vendor inquiries.
Special Projects: Assist with special projects and financial process improvement initiatives as assigned.

Qualifications & Skills

Experience: 3+ years of experience in legal billing or accounting within a law firm environment.

Industry Knowledge: Strong familiarity with legal billing practices (e.g., billable hours, retainers, and the legal billing lifecycle).
Core Competencies: Exceptional attention to detail, accuracy, and strong organizational and time management skills.
Communication: Excellent written and verbal communication skills for professional interactions with clients, vendors, and firm leadership.

Preferred Skills & Systems

Software: Proficiency with standard legal billing software (e.g., Clio, TimeSolv, LeanLaw, or similar platforms) and QuickBooks.

Compensation & Logistics

Salary Range: $60,000 per year
