We are seeking an organized, collaborative, and clinically skilled Program Coordinator who enjoys balancing direct patient care with program operations. This role is ideal for a clinician who thrives in a fast-paced environment and enjoys solving problems, coordinating people and systems, and helping a growing organization operate at its highest level.
Position Summary
The Program Coordinator serves as a central operational leader within Wholeview Wellness, ensuring the seamless coordination of clinical programming, staffing, patient flow, and administrative operations. This position combines clinical practice with program management responsibilities, helping ensure exceptional patient care while supporting clinicians and maintaining efficient day-to-day operations.
The successful candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple priorities while maintaining a patient-centered approach.
Primary ResponsibilitiesClinical Operations
- Serve as the primary administrator for Wholeview Wellness' Electronic Medical Record (EMR) system (Qualifacts Insync).
- Coordinate patient admissions, transfers, discharges, and group assignments.
- Maintain the master group therapy schedule, ensuring accurate patient placement and clinician assignments.
- Coordinate clinician coverage for vacations, illness, schedule changes, and staffing transitions.
- Monitor program capacity and optimize patient scheduling across all levels of care.
- Support implementation of new clinical programs and operational initiatives.
Clinical Services
- Maintain a caseload of approximately 15-20 patients.
- Provide individual counseling, care coordination, and treatment planning.
- Facilitate evidence-based group therapy sessions.
- Develop, implement, and regularly update individualized treatment plans.
- Collaborate with psychiatrists, therapists, medical providers, and care coordinators to ensure integrated treatment.
Quality & Compliance
- Complete timely, accurate, and compliant clinical documentation.
- Monitor patient outcomes and coordinate monthly measurement-based care assessments.
- Ensure documentation meets payer, accreditation, and regulatory requirements.
- Participate in quality improvement initiatives and program evaluation.
- Assist with audits, chart reviews, and compliance activities.
Administrative & Program Support
- Coordinate payment tracking and documentation for 1099 clinical contractors in collaboration with Accounting.
- Collect, review, and maintain quarterly staff timesheets and administrative records.
- Maintain staff directories, program documentation, and internal operational resources.
- Coordinate ordering of business cards, marketing materials, office supplies, and program collateral.
- Support onboarding and orientation of new clinical staff.
- Assist leadership with special projects, strategic initiatives, and operational improvements.
- Identify opportunities to improve workflows, efficiency, and patient experience.
QualificationsRequired
- Master's degree in Social Work, Mental Health Counseling, Psychology, or related behavioral health field.
- Licensed or license-eligible in New York State (LMSW, LCSW, LMHC, LMFT, CASAC or equivalent as appropriate).
- Experience providing behavioral health or substance use disorder treatment.
- Strong organizational, project management, and time-management skills.
- Excellent written and verbal communication.
- Ability to prioritize multiple responsibilities while maintaining exceptional attention to detail.
- Strong computer proficiency and comfort learning new technology.
Preferred
- Experience in an OASAS-certified substance use disorder treatment program.
- Experience using electronic medical record (EMR) systems.
- Knowledge of Medicaid and commercial insurance documentation requirements.
- Experience coordinating clinical schedules and multidisciplinary teams.
- Familiarity with quality improvement and measurement-based care initiatives.
