Overview

We are seeking a dynamic and personable Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience from the moment they walk through the door. Your energetic approach and excellent organizational skills will help maintain a smooth and efficient front office environment, supporting our office management and administrative operations. This paid position offers an exciting opportunity to develop your clerical and customer service skills in a vibrant workplace.

Duties

Greet visitors warmly and professionally, providing excellent customer support and assistance
Manage multi-line phone systems, answer inquiries promptly, and direct calls accurately using proper phone etiquette
Schedule appointments, manage calendars, and coordinate meetings using Microsoft Office tools and Google Workspace
Handle data entry, filing, and document proofreading to ensure accuracy and organization of office records
Perform general clerical tasks such as photocopying, faxing, mailing, and maintaining office supplies
Support office management activities including bookkeeping with QuickBooks or similar software
Assist with administrative projects such as preparing reports, managing correspondence, and supporting personal assistant duties when needed

Requirements

Proven experience in office management or administrative support roles with strong clerical skills
Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
Prior experience with multi-line phone systems and phone etiquette is essential
Bilingual abilities are highly desirable to serve diverse client needs effectively
Strong organizational skills with the ability to prioritize tasks efficiently and manage time effectively
Experience in customer service or customer support roles with a friendly and professional demeanor
Knowledge of office equipment such as printers, scanners, and fax machines; familiarity with bookkeeping software like QuickBooks is a plus
Ability to maintain confidentiality while handling sensitive information with discretion
