Office Manager

Firepro, Inc. | Ocean City, Maryland
Full-Time | Monday–Friday, generally 8:30 a.m.–4:30 p.m.

$ 24.50/hour (commensurate with experience) + bonus opportunity.

$ 53K + annual earning potential

About the Role

Firepro, Inc. is looking for an experienced, dependable Office Manager to take ownership of the day-to-day administrative and customer operations of our company.

This is an important role within a small, established business. This employee will be the central point of coordination between our customers, office, and field service team making sure customers receive excellent service, technicians have what they need to do their jobs, and the administrative side of the business stays organized and on track.

We're looking for someone who is organized, personable, proactive, andcomfortable taking ownership of their work and results. This is not a role where everything will be handed to you. The right person will be someone who can see what needs to be done, follow through, and become a trusted part of the Firepro team.

What You'll Do

Customer & Office Operations

Manage day-to-day office activities and administrative processes.

· Provide excellent customer service. Serve as a primary point of contact for Firepro customers. Respond to calls, emails, service requests, and questions. Build and maintain strong customer relationships

· Maintain accurate customer records, work orders, service documentation, and other files using Firepro’s software systems

· Ensure inspection certificates and other required documentation are properly processed and distributed to customers and regulatory authorities following completed inspections.

· Manage vendor and supplier relationships

· Maintain a professional, organized office environment. Anticipate office supply and equipment needs

· Identify opportunities to make office processes more efficient and organized

Scheduling, Dispatch & Field Coordination

Serve as the primary administrative liaison between customers, the office, and field technicians.

· Coordinate scheduling and dispatch for fire alarm inspections, service calls, repairs, and other field work

· Maintain inspection schedules and ensure required inspections are scheduled and completed within applicable timeframes

· Manage technician schedules based on customer needs, location, urgency, and availability

· Ensure technicians have the customer information, work orders, and documentation needed to complete scheduled work

· Communicate schedule changes, customer requirements, and service updates to the field team

· Track completed work and ensure documentation is returned to the office for timely customer follow-up and billing

· Review completed work orders and inspection documentation for accuracy and completeness; follow up on missing information as needed

· Maintain customer service contracts and agreements, and coordinate renewals or follow-up as needed

· Coordinate technician on-call schedules.

· Work closely with management and other employees to balance customer needs, technician availability, and field priorities.

Billing & Collections

Maintain accurate billing and payment records.

Prepare and process customer invoices
Track accounts receivable and outstanding balances. Follow up with customers regarding past-due invoices. Respond to customer billing questions and resolve issues when appropriate

What We're Looking For

We're looking for someone who:

Has prior, verifiable experience in office management, administration, scheduling, dispatch, customer service, or a similar role
Has 2+ years’ verifiable proficiency working with QuickBooks or similar accounting software
Is highly organized and detail-oriented
Communicates clearly and professionally with customers and coworkers
Is comfortable working independently in a small-business environment.
Can manage multiple priorities without becoming overwhelmed
Has a strong sense of responsibility and accountability. Takes initiative and follows through
Is comfortable learning new systems and working with computers, email, scheduling, and office software
Is professional, dependable, and team-oriented

Experience That Would Be a Plus

Experience in any of the following would be particularly helpful, if documented via references from prior employers:

Field service or service-based businesses
Fire/life safety, security, HVAC, electrical, plumbing, elevator, or other technical service industries
Dispatch or technician scheduling
Billing, accounts receivable, or collections
Construction or facilities services
Service management, inspection, scheduling, or similar industry-specific software

Industry experience is not required. We're more interested in finding someone who is organized, capable, dependable, and willing to learn.

What matters is that you're comfortable learning, good with people, organized, and willing to take ownership of your work and your results.

Because Firepro is a small team, this position has the opportunity to become a trusted and important member of the company. You'll work closely with management and have a direct impact on how effectively the business serves its customers.

Schedule & Compensation

Earning potential of $ 53,000 + per year

Hourly Rate: Commensurate with experience with a minimum hourly rate of $24.50/hour

Annualized: $50.950 at 40 hours/week

Bonus: Up to $3,000 annually

Schedule: Generally, Monday–Friday, 8:30 a.m. to 4:30 p.m.

Flexibility: Reasonable flexibility when business needs permit

Overtime: Not expected as part of the normal schedule

PTO: Paid time off will be earned once employee has satisfactorily completed training and has been on the job for a minimum of 6 months.
