Full Job Description

10 Stars Property Management is seeking a dependable, organized, and customer-focused Office Assistant / Collections Coordinator to join our growing property management team.

This full-time position supports office administration, resident communications, rent collections, accounts receivable, payment processing, tenant account management, lease administration, and customer service.

The ideal candidate is highly organized, detail-oriented, professional, and comfortable communicating with residents regarding rent payments, past-due balances, payment arrangements, notices, and account questions. Property management or collections experience is preferred, but we are willing to train the right candidate who demonstrates a strong work ethic and willingness to learn.

Key Responsibilities

Process rent payments, payment postings, and resident account transactions accurately
Monitor tenant and resident account balances and maintain accurate payment records
Perform rent collection follow-up on past-due balances and delinquent accounts
Communicate professionally with residents regarding account balances, payment arrangements, notices, payment options, and lease-related questions
Assist residents with account inquiries, customer service requests, and conflict resolution
Prepare and maintain resident files, notices, correspondence, payment records, and other property management documentation
Answer incoming phone calls, respond to emails, and route inquiries to the appropriate team member
Coordinate utility transfers, utility activation requests, and service disconnects
Assist with lease administration, resident notices, occupancy documentation, and account follow-up
Provide general administrative and office support to property managers and staff
Maintain confidentiality when handling resident financial information and sensitive records
Work closely with property managers, maintenance personnel, and accounting staff to ensure efficient daily operations
Complete additional administrative duties as needed

Required Qualifications

3+ years of customer service experience
Excellent verbal and written communication skills
Strong organizational and time-management skills
Ability to professionally discuss rent payments, past-due balances, payment arrangements, and collections matters
Strong attention to detail and accuracy when handling financial and resident account information
Ability to multitask, prioritize responsibilities, and work efficiently in a fast-paced office environment
Professional and courteous demeanor, including during difficult resident conversations
Proficiency with Microsoft Office, Google Workspace, email, and digital document management
Ability to maintain confidentiality and professionalism

Preferred Qualifications

1+ year of property management experience
Experience in property management, leasing, collections, accounts receivable, payment processing, or office administration
Experience processing rent payments and managing resident or tenant accounts
Experience with property management software such as Buildium, AppFolio, Rent Manager, Yardi, or similar software
Familiarity with resident communications, notices, lease documentation, and delinquent account follow-up

Training Available

Property management experience is preferred but not required for every candidate. We are willing to train a motivated individual who demonstrates reliability, professionalism, excellent customer service, attention to detail, a strong work ethic, and a willingness to learn.
