Full Job Description

Position Overview

The Admin & Marketing Coordinator is a versatile, detail-oriented team member who keeps both our marketing engine running and our office humming. Reporting directly to the Marketing Manager, this role splits roughly 70% of its time on marketing activities and 30% on administrative support. The right candidate is equally comfortable scheduling social media content as they are managing inboxes, coordinating with inspectors, and supporting day-to-day operations.

Key Responsibilities

Marketing (70%)

Assist in creating and scheduling content across social media platforms (Facebook, Instagram, TikTok, YouTube, and LinkedIn).
Draft blog posts, email newsletters, and promotional copy that aligns with our brand voice.
Support SEO efforts including updating website content and meta data in WordPress.
Manage and monitor our online review presence (Google, Yelp, etc.) and flag responses for the Marketing Manager.
Coordinate realtor outreach campaigns and maintain the realtor contact database.
Assist with the production of marketing materials such as digital brochures, flyers, and email templates.
Track marketing performance metrics and compile regular reports.
Coordinate with our web design partner (Lightswitch) on website updates and tasks.
Support video content planning and basic editing as needed. Knowledge of CapCut and Kapwing programming is a plus.
Attend Events as necessary (some after hours availibilty is required)

Administration (30%)

Manage and triage incoming phone calls, emails, and web form submissions.
Assist with scheduling and confirming inspections, coordinating between clients, realtors, and inspectors.
Maintain and update CRM records, client databases, and contact lists.
Handle general office tasks including filing, correspondence, supply management, and data entry.
Support billing and invoicing coordination as needed.
Assist co-owners and management team with administrative tasks and special projects.

Qualifications

Required

2+ years of experience in marketing, administrative support, or a combination of both.
Strong written communication skills — you can write clearly and adapt tone for different audiences.
Comfortable managing and scheduling content across major social media platforms.
Proficient with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
Highly organized with strong attention to detail and the ability to juggle multiple priorities.
Reliable, proactive, and comfortable working both independently and as part of a small team.

Preferred

Experience with WordPress, Canva, or email marketing platforms
Familiarity with CRM systems or scheduling software.
Background in real estate, home services, or a related industry is a plus.
Experience with basic video editing or social media content creation tools.
Knowledge of local Connecticut real estate market a plus.
