Driver’s Pay & Accounts Payable Accountant

Position Summary

The Driver’s Pay & Accounts Payable Accountant is responsible for ensuring accurate and timely driver compensation, escrow administration, charge-back processing, accounts payable functions, and related accounting activities. This role serves as a key liaison between Accounting, Safety, Dispatch, Claims, and Driver Services to support financial accuracy, regulatory compliance, and exceptional internal customer service.

Key Responsibilities

Driver Pay & Settlement Administration

Review and process driver settlements and payments for independent contractor drivers.
Maintain driver advances, insurance deductions, adjustments, and overpayment recovery tracking.
Process special pay requests, missed settlements, and settlement corrections.
Establish and maintain driver direct deposit and payment account information.

Driver Escrow & Chargeback Management

Administer drivers escrow accounts and maintain accurate balances. Perform quarterly account balance reconciliations on a per driver basis.
Process monthly chargebacks including equipment, shipping, permits, placards, tolls, violations, and other driver-related expenses.
Process new hire drug screening charges and other driver onboarding costs.
Provide escrow and open balance reporting to operational teams as needed.

Compliance & Administration

Administer wage garnishments, child support orders, tax levies, and other court-ordered deductions. Prepare and process remittances to the appropriate agencies and jurisdictions.

Driver Terminations & Final Settlements

Coordinate driver termination accounting processes with Safety and Claims departments.
Prepare final settlement payments, refund checks, and bad debt notifications.

Accounts Payable

Process vendor invoices and accounts payable transactions for multiple operating entities.
Prepare and issue check payments and ACH transactions.
Ensure timely and accurate payment processing in accordance with company policies.

Accounting Support & Reporting

Support accounting inquiries from operations, dispatch, sales, and management teams.
Maintain spreadsheets, reports, and supporting documentation for accounting transactions.
Assist with additional accounting projects and process improvement initiatives as assigned.

Qualifications

Required

Associate's degree, or more, in Accounting, Finance, Business Administration, or related field; equivalent experience may be considered.
Experience in accounting, accounts payable, payroll, settlements, or transportation accounting.
Strong attention to detail and ability to manage multiple deadlines.
Proficiency in Microsoft Excel and accounting software applications.
Strong analytical, organizational, and problem-solving skills.
Excellent written and verbal communication skills.

Preferred

Experience in transportation, logistics, or trucking industries.
Experience with Comdata, Revenova, NetSuite, or similar accounting and transportation systems.
Knowledge of driver settlements, escrow accounting, and contractor pay processes.
