Full Job Description

BACKGROUND

Concord is looking for an employee interested in providing full-time, on-site, Receptionist capable of meeting the requirements of the USAO, Vermont in the Burlington office. The primary division needing support is expected to be the Administrative and Criminal Division. Other components of the District of Vermont may also make use of the contract as priorities arise as directed by the USA.

The mission of the US Attorney’s Office (USAO) is to prosecute and defend cases on behalf of the federal government. The USAO in the District of Vermont consists of approximately: 24 attorneys and 14 support staff (paralegals and legal assistants) members. This contract will be used to provide professional litigation support and legal assistance products and services, legal case and/or investigation-related administrative record responsibilities, and assist in the production of documents and electronic data as needed for discovery, pre-trial, and trial exhibit.

SPECIFIC JOB REQUIREMENTS

Receive visitors and telephone calls to the office. Manage access to the office and ensure that only properly cleared visitors are authorized entry. Notify staff members of visitors or incoming telephone calls. Take messages from visitors and callers when staff members are unavailable.
Respond to inquiries, providing general information regarding office programs. Advise caller or visitor to contact appropriate Federal, State, or local agencies concerning matters outside office purview and furnish contact information when available.
Maintain current telephone and address listings of departments and agencies.
Receive, screen, review, and distribute incoming mail, including service of process. Check mail and annotate accordingly. Ensure mail received from other agencies is appropriately screened and distributed. Notify appropriate staff member when material is received via fax transmission and place in appropriate internal mailbox.
Stamp and properly mark outgoing mail to include certified mail, standard USPS mail and FedEx items for daily pickup/drop off.
Coordinate and receive deliveries from shipping companies and vendors. Meet vendors at loading docks and monitor and/or escort vendors during their time in secure USAO premises. Bring shredding materials down to loading docks to shredding contractor.
Produce a variety of written documents utilizing varied and advanced word processing software, working from handwritten draft, edited copy, or electronic files created by staff members. Create, copy, edit, make insertions and deletions, and move text throughout a single document and from one electronic word processing file to another. Store, retrieve, and print a variety of documents. Ensure documents are in the proper format and verify spelling, punctuation, capitalization, and grammar. Consult with document author to resolve questionable material.
Stocks forms or other office supplies and notifies appropriate staff person when reorder level is reached.
Occasionally assists with receiving deliveries on the loading dock, to include maneuvering the freight elevator, unpacking and uncrating items, and delivering items from the loading dock to the 2nd and/or 3rd floor, and escorting delivery personnel.
Will work in an office setting. Some walking, standing, bending and carrying of small office items is required. There may be a need to work overtime depending on work and caseload.

REQUIRED SKILLS

Computer skills and ability to use document and case management programs, trial presentation programs, MS Excel, MS Outlook, MS Access or other data bases, MS Word and Adobe Acrobat Professional.
Communication skills are extremely important. Applicant works and interacts professionally and effectively with all levels of staff; has the ability to meet established deadlines and work as a team player in a professional office; and is skilled in meeting and dealing with people in a courteous and tactful

EDUCATION REQUIREMENTS

Prior experience as Receptionist is preferred
Previous experience in a legal office setting is preferred
Basic Knowledge of legal terminology is preferred
Knowledge of standard litigation support principles, methods and technology is preferred
High School degree is required

CLEARANCE REQUIREMENT

This position requires U.S. Citizenship and will involve a Federal background investigation.

Candidates must be able to pass this investigation and receive Public Trust at a minimum to be considered for this position.

This will require a clear criminal and credit history for a minimum of ten (10) years.

WORK LOCATION

U.S. Attorney’s Office-Burlington, VT

M-F, 40 hours per week

PERIOD OF PERFORMANCE

This is intended to be a long-term contract effort; current effort extends through 9/30/31 with the likelihood of additional five-year contract effort. Start date for this opportunity (pending successful clearance process) is 10/1/26.

WAGES AND BENEFITS

$19.04/hr. Base Wage
$5.09/hr. H&W Benefit (or 100% premiums employer-paid insurance package option)
