SUPERVISOR: Director of Enrollment Management & Associate Dean of Health
This position is composed of two part time positions combined into one full time role. Please see the separate job responsibilities listed below.
BASIC FUNCTION: Facilitating office functions for enrollment and healthcare department.
QUALIFICATIONS:
Required – Work experience that supports excellent oral and written communication skills, organizational skills, and marketing skills. Computer and customer service skills.
Minimum of a HS Diploma
Preferred – Previous experience in a healthcare or simulation setting.
Diploma or Associate Arts Degree.
Experience in student affairs/student services or community college work.
Bilingual in English and Spanish.
Enrollment Management Office Assistant
DESIRED QUALITIES AND CHARACTERISTICS:
1. Possess excellent written, oral, and interpersonal communication skills as well as organizational skills.
2. Able to take initiative and work with a high degree of accuracy in a detail-oriented position with multiple tasks.
3. Proficiency in use of Microsoft Word, Excel, PowerPoint, and other advanced computer programs.

DUTIES/RESPONSIBILITIES:
Manage Communication Management to prospective, applicant, and accepted students.
Answer telephone and furnish information to caller.
Confirm campus visit appointments for student tours, reserve the visit room, reserve a vehicle when needed, and inform the appropriate program instructors and/or coach of each appointment.
Assist supervisor with reports, correspondence, and other materials requested by supervisor.
Assist with organizing special event days (visit days, orientation, open house, etc.)
Manage materials for the Enrollment Office by keeping the office stocked with the necessary documents for campus visits and acceptances.]
Assists with preparation of recruiter travel
Assist in managing the files, current student, applicant student, and cancel student.
Be familiar with the certification, diploma, and degree programs of Northwest Iowa Community College.
Be familiar with Northwest Iowa Community College policies and procedures for admission, financial aid, etc.
Promote and maintain open communication with all college constituents.
Represent the College outside of the campus community.
Actively participate in college committees.
Perform other duties as assigned.
Healthcare Administrative Assistant

DUTIES/RESPONSIBILITIES:

4. Assist with organizing special event days.
5. Manage materials, supplies and file organization for the Health Division by keeping the office stocked with the necessary documents for efficiency.
6. Be familiar with the certification, diploma, and degree programs of Health for Northwest Iowa Community College.
7. Be familiar with Northwest Iowa Community College policies and procedures for Health.

12. Provide overall secretarial support which includes typing, duplication, and filing of all course-related materials, division forms, business communications, facsimile, and e-mail correspondence.
13. Prepare correspondence, reports, grant requirements, presentations, spreadsheets, databases, and other documents efficiently and accurately.
14. Work with minimal supervision, organizing and prioritizing daily work.
15. Assist with Health events. Coordinate arrangements for group meetings.
16. Assist in confirming the accuracy of budget expenditures as requested by the staff
17. Record minutes for various meetings as requested.
18. Enter purchase orders, and write requests for payment.
19. Prepare and maintain filing system of all documentation.
20. Electronically and manually file all coursework , as needed.
21. Assume direct responsibility for maintaining currency of specific annual or reoccurring projects.
22. Assist with preparation of local, state, and federal reports as directed.
23. Develop and maintain mailing lists for professional groups.
24. Prepare appropriate mailings and email correspondence.
25. Compile evaluations as required.
26. Run registrations, class rosters, maintain adequate records for sections generated, and certificates for Health courses in Colleague/Datatel.
27. Support Advisory Board meetings.
28. Support the day-to-day operations for all of the departments within the health division by supporting the needs of the faculty, staff, and Associate Dean of Health. This may include credit and noncredit course offerings, as well as, assisting in the classroom, lab, clinical, and/or simulation setting.
29. Perform other duties as assigned
WAGE/SALARY RANGE: Dependent on education and experience.
