Position Summary
The Operations & Logistics Coordinator is responsible for the day-to-day management of warehouse operations, inventory control, food logistics, facility readiness, and operational systems to ensure Neighbors Nourishing Neighbors can safely and efficiently serve every neighbor with dignity.
Reports directly to the Executive Director and works collaboratively with the other Coordinator to ensure seamless pantry operations. This position helps maintain seamless operations by ensuring products, volunteers, equipment, and operational processes support an exceptional pantry experience. The Operations Coordinator serves as a key partner in maintaining operational readiness while supporting continuous improvement and long-term sustainability.
This position is central to N3's ability to meet community needs through efficient operations and dependable food distribution.
Key Responsibilities
1. Warehouse Operations & Food Flow
- Lead all warehouse intake, sorting, stocking, and storage activities.
- Coordinate food pickups, deliveries, offloading, weighing, and shelving.
- Execute food pickups, deliveries and others as required when workforce is unavailable.
- Verify incoming donations and deliveries for quality, quantity, and food safety.
- Maintain a clean, organized, and efficient warehouse environment.
- Maintain receiving documentation and donation records.
- Coordinate outbound distributions to ensure product availability.
2. Inventory Management & Tracking
- Oversee accurate tracking of pounds received and distributed.
- Maintain proper inventory rotation (FIFO) and storage practices.
- Monitor inventory levels and communicate shortages or surplus.
- Maintain inventory tracking systems and operational spreadsheets.
- Conduct routine physical inventory counts.
- Investigate and resolve inventory discrepancies.
- Maintain inventory reporting for leadership and grant reporting.
- Monitor expiration dates and minimize product loss.
3. Equipment, Facilities & Logistics
- Ensure refrigerators, freezers, vehicles, pallet jacks, and other equipment remain operational.
- Coordinate maintenance, inspections, repairs, and vendor services.
- Maintain safe loading docks, warehouse areas, and storage spaces.
- Oversee waste management and facility organization.

4. Volunteer Support (Warehouse)
- Welcome, train, and support warehouse volunteers.
- Assign volunteer responsibilities based on operational needs.
- Ensure volunteers follow food safety and warehouse safety procedures.
- Cross-train volunteers to support pantry operations when needed.
- Create warehouse volunteer work assignments.
- Provide safety orientation.
- Recognize and encourage volunteer engagement.
- Report volunteer concerns to the Pantry Coordinator.
5. Collaboration & Operational Support
- Participate in daily operational planning.
- Coordinate staffing priorities between warehouse and pantry.
- Ensure products requested by Pantry Coordinator are staged before distributions.
- Serve as operational backup during pantry distributions when needed.
- Stage products for distribution.
- Provide operational updates to the Executive Director.
- Support pantry operations during high-volume distribution days.
- Assist with developing and improving operational procedures.
6. Problem Solving & Continuous Improvement
- Respond to warehouse and operational challenges.
- Recommend improvements that increase efficiency and reduce waste.
- Help maintain continuity of operations through cross-training and documentation.
- Develop and maintain Standard Operating Procedures (SOPs).
- Identify cost-saving opportunities.
- Recommend equipment purchases.
7. Food Safety & Compliance
Responsible for:
- Safe food handling

Experience preferred
- 2+ years warehouse or logistics experience
- Food pantry or nonprofit experience preferred
- Inventory management experience
- Volunteer leadership experience
- Forklift certification preferred (or ability to obtain)
Essential Functions & Physical Requirements
- Ability to stand, walk, bend, and move throughout warehouse and pantry spaces.
- Frequently lift, carry, push, and pull up to 50 pounds and show ability to do so in a safe manner
- Ability to work in cold storage areas, loading docks, and outdoor environments.
- Ability to drive organizational vehicles locally for pickups or deliveries.
- Valid Texas driver's license with a clean driving record required. Must maintain an active driver's license throughout employment.
- Ability to occasionally operate pallet jacks, forklifts, or similar equipment (training provided).
- Forklift OSHA training required
- OSHA Forklift Certification
