Position Overview
The HR Manager is responsible for leading day-to-day HR operations for A-1 Little John, ensuring the company's HR systems, payroll, benefits, workforce administration, and employee and driver credentialing remain accurate, compliant, and audit-ready at all times.
This role owns HR systems administration (Paycor), payroll processing for the entire company, and benefits administration across the employee lifecycle, partnering with department managers to build and enforce accurate time tracking and approval practices and to ensure a strong employee experience.
This role also owns collaboration with department managers so all leaders consistently follow company hiring, employee performance, and accountability systems. The HR Manager maintains all company documentation regarding employees and terminations, and coordinates termination processes across internal partners and integrated platforms.
This role owns all company workforce administration and workers' compensation daily practices and processes.
This role also owns the HR side of DOT screening and credentialing, serving as the primary internal point of contact with partner services for background checks, drug and alcohol testing, and DOT-required documentation.
This role is also an executive administrative support role. The HR Manager does not supervise employees, but collaborates to deliver support systems for employee development and training. This role directly owns the systems, documentation, and processes department managers use to hire, pay, evaluate, and separate employees consistently and compliantly.
The role works cross-functionally with internal leaders and external partners, including partner services, to streamline HR systems, payroll, benefits, and credentialing across the company.
Primary Responsibilities
HR Systems & Employee Lifecycle Management (20%)
- Serve as primary owner of Paycor, ensuring data integrity, consistent processes, and effective system utilization
- Administer core employee lifecycle transactions, including hires, job and compensation changes, and organizational updates, in alignment with policy and audit requirements
- Partner with HRIS IT to support workflow configuration, eligibility rules, security roles, and system enhancements; coordinate testing and validation
- Manage system updates and releases, including impact assessments, user communications, job aids, and training for HR partners and managers
Hiring, Performance & Accountability Systems Oversight (20%)
- Partner with department managers to ensure all leaders consistently follow company hiring, employee performance, and accountability systems
- Own and maintain all company documentation regarding employees, performance records, and terminations
- Coordinate termination processes end-to-end across internal partners and integrated platforms
- Collaborates to maximize Paycor ATS, HR, Talent Development and LMS systems.
Benefits Administration, Vendor Management and Insurance Administration (15%)
- Own end-to-end benefits administration, including eligibility, enrollments/life events, carrier file feeds, billing and premium reconciliation, and employee issue resolution
- Manage benefits vendors and broker/consultant relationships; support renewals, plan changes, and service-level monitoring
- Ensure benefit deductions and pay-impacting issues are accurately reflected in payroll processing
- Manage the Company’s Insurance Policy.
Payroll Ownership & Timekeeping Compliance (10%)
- Own payroll processing, PTO and administration for the entire company
- Partner with department managers to develop, train on, and enforce accurate time tracking, PTO, approval, and timecard practices
- Ensure payroll compliance with wage and hour requirements, deductions, garnishments, and audit standards
- Serve as the primary point of contact for payroll-related vendor and platform coordination
DOT Screening & Credentialing Coordination, Fleet Registration (10%)
- Serve as the primary internal point of contact with partner services for background checks, drug and alcohol testing (including random testing) and DOT-required credentialing
- Monitor, communicate and ensure real time updates across Safety Training Partner, ISNetworld and Veriforce
- Ensure every driver and safety-sensitive employee file is complete, current, and audit-ready
- Maintain documentation for employee certifications tied to DOT and safety-sensitive roles
- Responsible for all fleet registration and regulation compliance.
Workforce & Workers' Compensation Administration (10%)
- Own all company workforce administration processes and daily practices
- Own workers' compensation administration, including claims coordination, documentation, and reporting
- Partner with department managers and external partners on workers' compensation case management and return-to-work coordination
- Manage the full cycle of the company’s Worker’s Compensation program.
HR Reporting & Process Improvement (10%)
- Design and maintain HR dashboards and reports (headcount, attrition, tenure, benefits participation, DOT/credentialing status, and other workforce metrics)
- Evaluate and improve HR processes, documentation, and controls to increase efficiency, accuracy, and employee experience
HR Documentation & Policy Support (5%)
- Develop and maintain HR operational procedures
- Provide support for handbook and policy documentation as assigned
Qualifications & Experience
- Bachelor's degree in Human Resources, Business Administration, or a related field (or equivalent experience)
- 5+ years of progressive HR operations experience with significant hands-on responsibility for HRIS and benefits administration
- Demonstrated experience administering Paycor (or similar HRIS/payroll platforms), including troubleshooting, audits, and end-user support
- Experience with benefits operations, including life events, carrier feeds, reconciliation, and vendor management
- Experience owning payroll processing and compliance, including deductions, reconciliations, and pay-impacting transactions
- Experience developing and enforcing timekeeping and approval processes with department managers
- Experience administering workers' compensation programs, including claims coordination and compliance documentation
- Experience coordinating background checks, drug testing, and DOT-required screening with a third-party administrator such as partner services
- Exceptional attention to documentation, accuracy, and deadlines
- Exceptional communication, employee development and culture building communication skills.
- Strong analytical skills to build and interpret HR dashboards and workforce metrics
- Works effectively with leadership, department managers, IT, brokers, and partner services
