Overview
We are seeking a dynamic and friendly Front Desk Receptionist to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer support to visitors and clients. Your organizational skills and professional demeanor will ensure smooth office management and create a positive first impression for everyone who walks through our doors. This paid position offers an exciting opportunity to develop your administrative expertise in a fast-paced environment.

Duties

Greet visitors warmly, verify appointments, and direct them appropriately
Manage multi-line phone systems with professionalism, demonstrating excellent phone etiquette
Handle incoming and outgoing correspondence, including emails and mail distribution
Maintain accurate data entry records using Microsoft Office, Google Workspace, and other office management tools
Assist with scheduling appointments, calendar management, and meeting coordination
Support clerical tasks such as filing, proofreading documents, and maintaining organized records
Perform basic bookkeeping tasks using QuickBooks or similar accounting software when necessary
Provide customer support by addressing inquiries promptly and courteously
Manage office supplies inventory and coordinate with vendors for replenishments
Ensure the reception area remains tidy, welcoming, and professional at all times

Experience

Previous office experience or administrative background preferred; experience in medical or dental reception is a plus
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Excellent organizational skills with the ability to multitask efficiently in a busy environment
Bilingual abilities are highly desirable to assist diverse client needs
Demonstrated customer service skills with a friendly and professional demeanor
Experience with phone systems, data entry, filing, proofreading, and calendar management is advantageous
Familiarity with clerical tasks such as proofreading documents and managing office supplies
Ability to handle confidential information discreetly while maintaining accuracy in record keeping
