Job Description:

Advanced Dermatology Care is seeking a Full-Time Administrative Assistant to join our team in the Business Office of White Bear Lake to provide high-level administrative support to the Managers and officers of ADC consistent with ADC's mission. The ideal candidate is dependable, organized, proactive, detail-oriented, and comfortable working in a fast-paced healthcare environment and comfortable adapting to changing priorities.

Major responsibilities of this role include accounts management, provider credentialing, entering billing charges, posting of payments, reconciling accounts, preparing and mailing statements, helping patients understand their statements, working with insurance companies on various tasks, and more, scheduling patients, assisting management in various business office tasks.

Essential Job Functions:

Organize and send required forms, documentation, and reports.
Maintain organized digital and physical filing systems.
Draft, proofread, and distribute internal and external correspondence.
Serve as a point of contact between the Manager and staff, patients and vendors.
Maintain confidentiality and handle sensitive information in accordance with privacy regulations.
Coordinate meetings, appointments, and conference calls for the Managers.
Assist with tracking deadlines, compliance documentation, and office workflows.
Answer the office telephone professionally
Greeting patients
Register patient accounts
Verifying patient insurance
Scheduling various appointments
Forward messages appropriately
Filing scanned documents,
Assist in our billing department.
Maintain patient accounts, applying financial transactions accurately
· Generate new patient account data
Contacting insurance providers for information/status updates
Provide updates and credentialing information to providers & clients
Timely data entry
Maintain satisfactory attendance (being here for your entire shift), and punctuality (being on time for your shifts) and accuracy on time cards (punching in and out correctly).

Maintain organized digital and physical filing systems.
Draft, proofread, and distribute internal and external correspondence.
Bookkeeping skills are beneficial
Experience in billing and coding a plus!
Create and maintain all patient files and ensure they are HIPAA compliant

Additional Responsibilities:

Dependably opening and/or closing of clinic office
Various clerical duties as requested by Management
Verifying charges, incoming and outgoing
Willingness to train in other departments of the business office

Qualifications:

High School diploma or GED
Strong organizational, time management, and multitasking skills.
Excellent written and verbal communication abilities.
Proficiency with office software (e.g., Microsoft Office, Google Workspace, scheduling or EMR systems).
Ability to maintain professionalism, discretion, and confidentiality at all times.
Previous administrative experience; healthcare or medical office experience a plus.

Pay: $24.00 - $27.00 per hour
