Director of Production & Operations

About the Role
Discount Deck & Window is seeking an experienced, highly organized Director of Production & Operations to oversee day-to-day production and operational coordination across both companies.
This person will be responsible for moving projects from sold job to completed installation and final invoicing. They will coordinate crews, schedules, work orders, customers, sales appointments, and internal follow-up to ensure projects are completed efficiently, accurately, and with a high level of customer service.
The ideal candidate is comfortable managing a high volume of active projects, communicating with multiple crews and customers, resolving scheduling and production issues, and maintaining accountability across the organization. This is a hands-on leadership role for someone who can bring structure to a fast-moving exterior construction operation.
Key Responsibilities
Production Management
- Own the production process across roofing, siding, windows, and deck projects.
- Coordinate projects from contract handoff through scheduling, installation, completion, and invoicing.
- Maintain visibility into all active, upcoming, delayed, and completed projects.
- Confirm that project details, measurements, materials, labor requirements, and customer expectations are documented before work begins.
- Identify production risks, scheduling conflicts, missing information, and project delays before they become larger issues.
- Communicate project status and production concerns to ownership, sales staff, customers, and other relevant team members.
- Help establish and maintain consistent production procedures across both companies.
Crew Coordination and Work Orders
- Assign projects to internal crews and subcontractors based on availability, qualifications, geography, and project requirements.
- Prepare, distribute, and track complete work orders.
- Confirm that crews have the necessary project information, materials, access instructions, and customer details before arriving on site.
- Maintain regular communication with crews regarding job progress, delays, change orders, site conditions, and completion status.
- Hold crews accountable for schedules, workmanship expectations, documentation, and jobsite communication.
- Coordinate return visits, punch-list items, warranty work, and project corrections when necessary.
Scheduling
- Manage the master production schedule for both our sister companies.
- Schedule installations, deliveries, inspections, service visits, sales appointments, and customer follow-ups.
- Balance crew capacity, material availability, weather, permitting, customer availability, and project priority.
- Proactively communicate scheduling changes to customers, crews, sales representatives, and leadership.
- Maintain accurate calendars and scheduling records across the company’s operational systems.
Customer Communication and Follow-Up
- Serve as a primary point of contact for customers during the production phase.
- Provide clear updates regarding scheduling, project preparation, delays, installation progress, and next steps.
- Answer and route incoming calls professionally and efficiently.
- Ensure missed calls, voicemails, emails, and customer questions receive timely follow-up.
- Resolve routine customer concerns and escalate significant issues when appropriate.
- Maintain professional communication throughout the project lifecycle.
Lead and Appointment Management
- Contact incoming leads promptly and professionally.
- Qualify prospective customers using established criteria.
- Schedule sales consultations, estimates, inspections, and follow-up appointments.
- Maintain consistent follow-up with leads who have not yet scheduled or made a decision.
- Keep lead records, appointment statuses, and communication notes accurate and current.
- Coordinate with sales representatives to reduce missed opportunities and improve appointment readiness.
Invoicing and Project Closeout
- Confirm that completed projects are ready for invoicing.
- Verify project completion, approved change orders, outstanding balances, and required documentation.
- Prepare or coordinate customer invoices and payment requests.
- Track open invoices and support appropriate payment follow-up.
- Ensure completed projects are properly closed out in company systems.
- Coordinate warranty information, final documentation, reviews, and post-project customer communication.
Operational Leadership
- Create accountability around schedules, follow-ups, documentation, and project completion.
- Maintain accurate information across the company’s CRM, project management, scheduling, and invoicing systems.
- Develop practical workflows, checklists, and procedures that improve consistency and reduce errors.
- Monitor operational volume and identify staffing, scheduling, or process bottlenecks.
- Provide regular reporting to ownership on production status, upcoming workload, delayed projects, outstanding invoices, customer issues, and crew performance.
- Work closely with ownership, sales, marketing, accounting, suppliers, crews, and subcontractors.
- Help both companies scale without sacrificing communication, project quality, or customer experience.
Qualifications
- Experience in production management, operations management, construction coordination, project management, or a closely related role.
- Experience managing multiple crews, subcontractors, projects, or service schedules simultaneously.
- Strong organizational skills and the ability to manage a high volume of changing priorities.
- Excellent written and verbal communication skills.
- Comfortable communicating with homeowners, crews, subcontractors, suppliers, salespeople, and company leadership.
- Strong judgment and the ability to resolve routine operational problems independently.
- Experience with work orders, scheduling, invoicing, customer follow-up, and project documentation.
- Proficiency with CRM, scheduling, project management, invoicing, and general office software.
- Ability to maintain accurate records and consistently follow projects through completion.
- Valid driver’s license and reliable transportation.
- Knowledge of roofing, siding, windows, decks, or residential exterior construction is strongly preferred.
