Full Job Description

Job Summary

We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive support to senior leadership and ensure the smooth operation of daily office functions. This role requires a proactive individual with exceptional communication skills, technical proficiency, and the ability to manage multiple priorities efficiently. The ideal candidate will be a resourceful problem-solver who thrives in a fast-paced environment and is committed to maintaining confidentiality and professionalism at all times.

Duties

Manage complex calendars, schedule appointments, and coordinate meetings with precision and attention to detail.
Handle incoming calls using multi-line phone systems, screen inquiries, and direct them appropriately with professional phone etiquette.
Prepare, edit, and proofread correspondence, reports, presentations, and other documents using Microsoft Office Suite including Word, Excel (Spreadsheets), and PowerPoint.
Organize travel arrangements, including booking flights, accommodations, and transportation while maintaining detailed itineraries.
Conduct data entry and maintain accurate records using various productivity software; ensure all information is up-to-date and easily accessible.
Assist with office management tasks such as supply ordering, filing systems, and maintaining office equipment to ensure operational efficiency.
Provide exceptional customer service by supporting clients and visitors at the front desk with professionalism and warmth.
Support special projects by gathering data, preparing reports, and coordinating logistics as needed.
Maintain confidentiality of sensitive information while managing multiple priorities effectively through excellent organizational skills.

Requirements

Proven experience as an Executive Assistant or in a similar administrative role with office management responsibilities.
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), data entry, spreadsheets, and productivity software.
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
Exceptional verbal and written communication skills; bilingual abilities are a plus for client communication.
Experience handling multi-line phone systems, calendar management, and front desk operations.
Familiarity with QuickBooks for financial record keeping is preferred but not mandatory.
Demonstrated ability to manage time effectively while supporting multiple executives or teams simultaneously.
Strong attention to detail for proofreading documents and ensuring accuracy across all tasks.
Previous clerical experience including data entry, customer service, and administrative support is highly valued.
