Full Job Description

Basic Function:

The Director of Finance and Administration will report to the Executive Director (ED) and be a hands-on expert in the following areas: finance, budgeting, human resources, and administration. This position handles the organization’s account payables and account receivables. In addition, the Finance and Administration Director is responsible for data entry, financial reporting, payroll processing, budget and tax preparation information, risk management, and cost controls.

Responsibilities and Duties

Financial Management

Prepare and analyze financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements; collate financial reporting materials for all donor segments, and oversee all financial, project/program and grants accounting.
Complete day-to-day bookkeeping tasks. Input data, manage controls, and improve procedures for A/P, A/R and purchasing to ensure the integrity of organization and financial information.
Provide all information for the annual independent audit, and the preparation of financial statements. Prepare or oversee the preparation of required audit schedules; maintain records; act as liaison with auditor.
Oversee the annual budgeting and planning process in conjunction with the ED; administer and review all financial plans and budgets; monitor progress and changes; and keep ED abreast of the organization’s financial status.
Verify and post transactions to journals, ledgers and other records, and prepare supporting account reconciliations.
Maintain appropriate systems and internal controls to adequately safeguard HFHGL financial resources and to provide a solid basis for accurately reporting financial data.
Assist the ED and Finance Committee with financial planning, cash flow planning, and policy matters related to Finance and Operations.
Present information to Finance Committee, Audit Committee, and others when requested.
Update and implement all necessary business policies and accounting practices; improve the organization’s overall financial policy and procedures.
Supervise assigned staff and volunteers to assist in A/P, data entry, and other needed tasks.

Operations Management

Work collaboratively with payroll vendor to prepare and input payroll including the distribution and reporting processes for payroll; the calculation of wages, overtime and deductions; and the maintenance of on-site employee records to ensure compliance with applicable regulations.
Manage H/R documentation and processes. Administer employee benefits program with benefits provider.
Coordinate legal and financial documents with business partners including homeowners, Homeowners Associations (HOAs), cities and towns, attorneys, insurance agencies, and others.
Manage all organization insurance, including Worker’s Comp, Vehicle, Liability, D&O, and others as needed. This will include an annual audit of Habitat Homeowners Insurance.
Coordinate mortgage servicing and HOA escrow accounts.
Acquire, analyze, and prepare data for grants and reports.
Perform other duties as assigned.

Position Requirements:

Strong working knowledge of Microsoft Excel and QuickBooks Online required.
Bachelor's in accounting/business administration or related field or equivalent experience.
Experience running payroll required.
Prior experience in a non-profit setting helpful but not required.
Prior experience in mortgage loan origination, loan documentation, and mortgage servicing is helpful, but not required.
Excellent communication, presentation, and interpersonal skills.
Expertise on Bill.com preferred.
Maintain valid driver’s license and reliable transportation.

Schedule:

Typical workdays are flexible, Monday-Friday. Rarely, evenings and weekends may be required for events and meetings.

Physical Demands:

This position requires regularly working in an office setting and remotely, working at a computer, using a telephone, and other office equipment, and occasional participation at events and construction sites.
