About the Position
The Receptionist/Office Assistant serves as the first point of contact for the firm, providing a professional and welcoming experience for clients while supporting smooth office operations. This position will manage our phone system, process payments, manage calendars, coordinate client intake and other office responsibilities. This is a support-focused role and success requires a genuine passion for serving others.

Schedule
The schedule is Monday through Friday, with every other Friday off. January through April, Saturday hours will be required to support tax season.

Compensation and Benefits
The compensation for this position is $26.00 per hour. The Receptionist/Office Assistant is also eligible for the following benefits:

Essential Position Responsibilities

Answer and manage multi-line phone system, including taking messages and transferring calls.
Create Excel schedules to track money allocation, process and enter payments.
Enter receipts and payables into QuickBooks.
Manage the President’s calendar and appointments, including sending invites and ensuring the President is prepared for meetings.
Assist with scheduling appointments for other employees.
Ensure all necessary documents are collected and organized to support timely filing of client tax returns.
Monitor client portal notifications and send them to the appropriate employee.
Greet and assist clients, ensuring a professional and welcoming experience.
Manage the client intake process, including first contact, scheduling, gathering information, etc.
Sort and distribute incoming mail.
Additional office support responsibilities as needed.

Qualifications

At least 1 year of experience in an office, administrative or receptionist role.
Excellent interpersonal, verbal and written communication skills.
Friendly, professional demeanor with strong customer service skills and the ability to communicate clearly with clients and coworkers.
High level of interpersonal skills, integrity and the ability to keep information confidential.
High level of attention to detail and the ability to manage multiple priorities with competing deadlines.
Strong organizational skills and the ability to actively follow-up on due dates and deadlines through completion.
Proficiency in Microsoft Office, including Excel, Word, Outlook and Teams.
QuickBooks experience preferred but not required. Training will be provided.
