Full Job Description

The Office Administrator is the first point of contact for external interactions with the public and internal office activities.

Responsibilities involve providing customer service and communication that meets both staff and client needs including:

· Greet clients and visitors to the office; ensure guests are comfortable and connected with the appropriate Program staff.

· Manage RingCentral, the office multi-line telephone system.

· Manage the medical equipment loan closet.

· Answer telephone calls and emails from clients and direct them to relevant staff.

· Manage schedules for the conference room and community room.

· Manage building reservations for the conference room and community room.

· Monitor and order inventory for office and break room including but not limited to: kitchen supplies, office supplies, furniture, appliances and electronics.

· Manage incoming and outgoing correspondence such as mail and packages.

· File and organize records, invoices, and other important documentation.

· Ensure community spaces in the building are organized.

· Support technology needs of the agency by doing initial troubleshooting of internet interruptions and being the point of contact for IT issues.

· Assist Program staff with in-person and/or online programming.

· Assist with securing and tracking donations for the annual Bay Days fundraiser.

Essential Skills:

· Proficiency with Microsoft Office applications and multiple forms of technology.

· Exceptional organizational skills.

· Ability to understand verbal and written instructions.

· Ability to effectively communicate with clients and staff.

· Ability to comply with organizational policies regarding professional expectations and state and federal standards, including confidentiality and personal data protection.

· Must be able to pass a NetStudy2 background check.

Desired Qualities:

· 2+ years' experience working in a professional office setting.

· Outstanding interpersonal communication skills, including respectful listening skills.

· Friendly, enthusiastic, and positive attitude.

· Flexible team player with the willingness to support other staff as needed.

· Experience with in-person and online programs.

· Experience working with older adults or in a caregiving field.

Other Details:

· $18 - $22/hour, 32 hours per week, Monday through Thursday with occasional weekend hours for special events (i.e., fundraisers, special programs, etc.).

· Paid holiday, vacation and sick time.

· Matching voluntary retirement plan and health care stipend based on eligibility.

· Supervised by the Board of Directors.

· Must be able to lift 35 lbs.

Pay: $18.00 - $22.00 per hour
