Job Summary

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Duties

Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Oversee office management tasks such as filing, data entry, and maintaining organized records using spreadsheets and productivity software
Coordinate calendar management and scheduling for team meetings, appointments, and events using Google Gsuite or Microsoft Office tools
Handle bookkeeping duties utilizing QuickBooks or similar accounting software to ensure accurate financial record-keeping
Support client communication, providing excellent customer service and customer support via phone or email
Assist with clerical tasks such as proofreading documents, word processing, and preparing reports or presentations
Maintain office supplies inventory and ensure all equipment is functioning properly for optimal productivity

Skills

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Strong computer literacy with excellent data entry skills and technical proficiency in office management tools
Experience with QuickBooks or other bookkeeping software is highly desirable
Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment
Excellent communication skills, both verbal and written, including phone communication and client interaction in bilingual settings
Demonstrated ability to manage calendars, schedule appointments, and coordinate meetings effectively
Knowledge of multi-line phone systems, filing systems, and office procedures
Proven clerical experience with attention to detail in proofreading and document preparation
Customer service orientation with a friendly demeanor and professional phone etiquette
Ability to handle confidential information discreetly while maintaining high levels of accuracy and productivity
