Job Overview

We are seeking an energetic and highly organized Office Manager to lead the daily operations of our busy medical office . This pivotal role involves overseeing administrative functions, managing office workflows, and ensuring a smooth and efficient workplace. The ideal candidate will possess strong organizational skills, technical proficiency, and a proactive attitude to support our team and enhance productivity. As the Office Manager, you will be the backbone of our office operations, fostering a positive and professional atmosphere that promotes success. Experience with Athena is helpful!

Duties

Manage front desk operations, including greeting visitors, answering multi-line phone systems, and providing exceptional customer service
Oversee office management tasks such as filing, data entry, calendar management, and maintaining office supplies inventory
Utilize software tools like Microsoft Office, Google Workspace, QuickBooks, and productivity software to streamline administrative processes
Coordinate appointments, schedule meetings, and handle calendar management for staff and executives
Perform clerical duties including proofreading documents, organizing files, and ensuring accurate data entry
Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and manage invoices
Provide customer support by addressing inquiries efficiently and maintaining excellent phone etiquette

Skills

Proven experience in office management or administrative roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and data entry tasks
Technical proficiency with multi-line phone systems, QuickBooks, and familiarity with productivity tools
Bilingual abilities are highly desirable to assist diverse clients and team members effectively
Excellent communication skills with a professional phone etiquette and customer service mindset
Strong time management skills to prioritize tasks efficiently in a fast-paced environment
Experience as a dental or medical receptionist or personal assistant is a plus for understanding specialized office workflows
Ability to handle clerical responsibilities such as filing, proofreading documents, and managing calendars with accuracy
