We are seeking an energetic, compassionate, and motivated Patient Care & Surgical Counselor/Ophthalmic Assistant who thrives in a fast-paced environment and enjoys building relationships with patients while helping them achieve their vision and aesthetic goals.
Position Summary
The Patient Care & Surgical Counselor/Ophthalmic Assistant serves as a key member of our clinical team, supporting providers in patient care while educating patients about treatment options, surgical procedures, and aesthetic services.
This position combines clinical responsibilities with patient counseling, treatment coordination, and sales support. The ideal candidate is comfortable discussing recommendations, answering questions, overcoming concerns, and helping patients move forward with elective procedures and services.
Essential Duties & Responsibilities & Clinical Responsibilities
- Assist providers with patient examinations and procedures
- Obtain and document patient medical histories
- Perform diagnostic and vision testing
- Conduct visual acuity testing, tonometry, keratometry, refractometry, visual fields, and other ophthalmic testing
- Prepare patients for examinations and procedures
- Educate patients regarding medications, treatments, and surgical procedures
- Assist with in-office procedures and operating room activities
- Provide pre-operative and post-operative patient care
- Maintain exam rooms, instruments, and clinical equipment
- Sterilize and maintain instruments according to protocol
- Ensure accurate and timely documentation within patient records
Patient Counseling & Sales Responsibilities
- Educate patients on recommended surgical, vision correction, dry eye, and aesthetic treatment options
- Discuss procedure benefits, pricing, financing options, and expected outcomes
- Answer patient questions and address concerns with confidence and professionalism
- Help patients make informed decisions regarding elective procedures and services
- Follow up with leads and prospective patients who have expressed interest in treatment
- Assist with consultation conversions and practice growth initiatives
- Support marketing events, patient seminars, and promotional campaigns as needed
- Track and document patient communications and outcomes
Administrative Responsibilities
- Coordinate and manage patient scheduling
- Answer incoming calls and assist patients professionally
- Respond to patient inquiries in person, by phone, and electronically
- Monitor and update patient records
- Scan and manage insurance documentation and paperwork
- Process reports and administrative requests
- Order supplies as needed
- Assist with daily office operations and workflow management
Preferred Technical Skills
Experience with any of the following is highly desirable:
- Visual acuity testing
- Pupillary assessment
- Tonometry
- Keratometry
- Refractometry
- Ocular motility testing
- Visual field testing
- Surgical assistance
- Instrument sterilization and maintenance
- Electronic Medical Records (EMR/EHR)

Qualifications & Education
- Certified Ophthalmic Assistant (COA) preferred but not required
- High school diploma or equivalent required
- BLS Certification preferred
Experience
- Minimum 1 year of experience in a medical office, ophthalmology, optometry, plastic surgery, aesthetics, healthcare sales, or related healthcare environment preferred
- Previous ophthalmology experience is strongly preferred
- Experience discussing treatment plans, elective procedures, or healthcare services is highly desirable
- Sales, patient counseling, treatment coordination, or consultation experience is a plus
- Knowledge of medical terminology and surgical environments is preferred
- Strong computer and EMR experience required
