Rehab Coordinator

Indianhead Medical Center (IMC) is a 25-bed critical access facility that has been providing quality care to the surrounding communities for over 70 years. Services include inpatient, outpatient, clinical, surgical, rehabilitation with extensive inpatient and outpatient therapies, and emergency care. We are currently seeking an Rehab Coordinator join our IMC team working in the Therapy department.
The Rehab Coordinator would be a full-time benefits eligible position working Monday - Friday, 8:00 am - 4:30 pm. As the Rehab Coordinator, you would be responsible for greeting patients, verifying insurance and patient details and moving those patients through a pre-determined schedule for therapy providers. You would schedule and re-schedule appointments via telephone or in-person. You would also help assist therapist and other therapy staff with duties such as documentation, billing and follow up to make sure all notes are done according to timelines. In addition, some of the responsibilities in this role would include:
· Welcomes patients and visitors to the therapy gym
· Answering inquiries or referring questions to other staff members
· Schedules appointments
· Prepares a daily schedule of examinations for each therapist
· Retrieves patient files, checks for correct sequence of papers, inserts new patient record forms, and provides files for therapist when needed
· Filing, tracking, documentation, emailing/faxing to doctors
· Verifying insurance and completing prior authorization for patients
· Tracks visits for upcoming authorization needs- recertification and supervise visits and schedules accordingly
· Coordination with partner facilities such as the nursing home and local school
· Endeavors to keep patients on schedule by reminding provider of service delays
· Maintains reception area and therapy gym in a neat and orderly condition
· Assists patients with insurance papers and billing questions
· Opens and sorts office mail
· Assists the therapy manager with collecting documentation
· Participates in the medical office emergency routine when required. Summons ambulance or EMS or assists other staff members as needed.
· Files documentation in multiple locations- SNF and Hospital
Required Skills/Abilities:
· Ability to learn multiple billing/documentation platforms and use all on a daily basis.
· Time management
· Personality and demeanor to deal with the public and assist ill, older, or distraught patients.
· Basic office skills such as typing and filing- good knowledge of Google docs, Google sheets, and Google calendar.
· Good organizational skills and the ability to multitask.
· Excellent communication skills with staff and clients.
Education and Experience:
· Graduate of a certified medical office training course preferred
· High school graduate or equivalent required
· BLS (Basic Life Savings) certification (or completed within 6 months of hire)
Summary of Physical Requirements:
· Prolonged periods sitting and use of hands typing, filing, phone use.
· Ability to occasionally lift or carry >10-20 pounds.
· A high degree of manual dexterity in both hands.
· Exposure to disagreeable odors, communicable diseases, and exposure to chemicals such as disinfectants, cleaners, soaps, etc.; exposure to latex, plastic, and other materials used for protective equipment; exposure to noise and distractions; and exposure to unpredictable behaviors.
