Job Scheduler — Production Department
Scott's Roofing | Bend

Scott's Roofing is Central Oregon's trusted roofing contractor for homeowners, home builders, and commercial contractors who care more about quality and communication than finding the cheapest bid. We do residential, commercial, and new construction re-roofs, flat TPO, metal, and shingle roofing, plus repairs of every kind. We're growing fast and we run tight — nothing falls through the cracks, and everyone knows where every job stands, every day.

THE ROLE

The Job Scheduler owns the production calendar. You are the single source of truth for where every crew is, every day — and when something changes, you're the one making sure the whole company and every affected customer knows about it before it becomes a problem.

You sit in the middle of the production department, between the Production Coordinator and the Production Manager. Jobs and information flow through you. When a job pushes back because of weather, material delays, or a crew issue, you're the one who re-sequences everything downstream, fills any gap that opens up with a job or small repair, and gets ahead of every customer conversation that comes with it.

WHAT YOU'LL OWN

Manage and maintain the master production calendar — every job, every crew, every day, always current.
Re-sequence the schedule in real time when a job pushes, a crew is short, weather hits, or materials are delayed — and cascade that change through every other job affected.
Fill open days on the calendar immediately with another job, punch list, or small repair so no crew sits idle.
Proactively call and update customers any time their job's timeline changes — before they have to call and ask.
Coordinate day-to-day with the Production Coordinator (paperwork, material staging, permits) and the Production Manager (crew capacity, field logistics) so the calendar reflects reality on both ends.
Flag scheduling conflicts, capacity gaps, or risk to committed dates before they turn into a customer complaint.
Keep job status accurate and visible across whatever scheduling/CRM tools we run, so nothing lives only in your head.
Communicate constantly and clearly — internally with the team, externally with customers, builders, and commercial contractors.
Update the cost-loaded schedule and report out weekly with: the week's production plan, revenue forecasted over the next month broken out by week, and what our backlog looks like for new availability.
Maintain the cost-loaded schedule as a living forecast — how much work is on the books for next week, next month, and total revenue on the books overall.
Track daily jobs and where every crew is each day.
Approve crew timecards daily, referencing roof measurements, squares submitted, and piece-rate footage tracked per crew per job to make sure hours and pay match the work actually done.

Comfortable on the phone — you can call a customer with news they don't want to hear and keep them confident in us.
Tech savvy — you pick up new software and tools fast and actually use them, rather than working around them.
A clear, proactive communicator — you'd rather over-communicate than let someone find out too late.
Calm under pressure when three jobs shift on the same day and the whole board needs to move.
Knowledge of construction, roofing, or the trades is a plus, but not required — we'll teach you the roofing side if you bring the organizational and communication skills.

WHERE THIS SITS

Reports into the production department, working directly alongside the Production Coordinator and Production Manager. This is not a back-office data-entry role — it's the operational hub that keeps jobs, crews, and customers in sync.
