Registration Clerk-Full-time position

Reports To: Director of Revenue Cycle / Registration Supervisor
Position Summary
Sterling Surgical Hospital is seeking a friendly, organized, and detail-oriented Registration Clerk to join our Registration Department. The Registration Clerk serves as the first point of contact for patients and plays a critical role in ensuring a positive patient experience. This position is responsible for patient registration, insurance verification, collection of patient financial responsibility, preparation of patient charts, and coordination with multiple departments to ensure a smooth and efficient surgical scheduling process.
The ideal candidate will possess excellent customer service skills, strong attention to detail, and the ability to work in a fast-paced healthcare environment.
Essential Duties and Responsibilities
Patient Registration
- Speak with patients in professional and courteous manner.
- Register patients accurately in CPSI/TruBridge and other applicable systems.
- Verify demographic, insurance, and guarantor information.
- Obtain and scan identification cards, insurance cards, and required documentation.
- Ensure all patient forms, consents, and required documents are completed
Scheduling Packet Review
- Review patient scheduling packets for completeness and accuracy.
- Verify that all required documentation is present, including:
- Physician Orders
- Consents
- Insurance Authorization Documentation
- Medical Clearances
- History & Physical Documentation
- Communicate missing documentation to appropriate departments and providers.
- Maintain registration packets according to hospital standards.
Insurance Verification & Authorizations
- Verify insurance eligibility and benefits.
- Review authorization status and ensure required approvals are obtained prior to service.
- Communicate insurance-related concerns to appropriate personnel.
- Document insurance information accurately within patient accounts.
Patient Financial Responsibilities
- Discuss estimated patient responsibility with patients prior to procedures.
- Collect co-pays, deductibles, co-insurance amounts, deposits, and prior balances.
- Establish payment arrangements according to hospital policy.
- Process credit card, cash, and check payments accurately.
- Maintain compliance with hospital financial policies and procedures.
Patient Communication
- Contact patients regarding upcoming procedures, registration requirements, and financial obligations.
- Provide excellent customer service while addressing patient questions and concerns.
- Coordinate with physician offices, schedulers, and clinical departments regarding registration-related matters.
Administrative Responsibilities
- Maintain confidentiality of patient information in accordance with HIPAA regulations.
- Scan and index documents accurately into the electronic medical record.
- Monitor assigned registration work queues and complete tasks timely.
- Assist with front desk coverage as needed.
- Participate in departmental meetings, training, and process improvement initiatives.
Qualifications
Education
- High School Diploma or GED required.
- Associate degree in Healthcare Administration, Business, or related field preferred.
Experience
- Minimum one (1) year of healthcare registration, medical office, insurance verification, or customer service experience preferred.
- Experience with hospital registration and insurance verification strongly preferred.
- Experience using CPSI/TruBridge, Athena Health, or similar healthcare systems preferred.
Knowledge, Skills, and Abilities
- Strong customer service and communication skills.
- Ability to multitask and prioritize responsibilities.
- Excellent attention to detail and organizational skills.
- Working knowledge of insurance terminology and benefits.
- Basic understanding of patient financial responsibility and collections.
- Proficient in Microsoft Office applications.
- Ability to maintain confidentiality and professionalism at all times.
Physical Requirements
- Ability to sit, stand, and walk for extended periods.
- Ability to lift up to 20 pounds occasionally.
- Ability to operate standard office equipment including computers, printers, scanners, and telephones.
