Full Job Description

Job Summary

The Community Association Manager is responsible for the day-to-day administration, operational oversight, financial coordination, resident relations, and vendor management of a residential condominium association. The Manager serves as the primary liaison between the Board of Directors, homeowners, residents, contractors, and service providers, ensuring that the community is professionally managed and maintained in accordance with governing documents, applicable laws, and Board policies.

The successful candidate will possess strong organizational, communication, financial, and customer service skills and be capable of managing multiple priorities in a fast-paced condominium environment.

Essential Duties and Responsibilities

Community Operations

Manage daily operations of the condominium community.
Conduct routine inspections of common areas, building systems, and grounds.
Identify maintenance, safety, and operational concerns and coordinate corrective actions.
Monitor compliance with community rules, regulations, and governing documents.
Respond promptly to homeowner and resident inquiries and concerns.
Maintain accurate records of incidents, violations, inspections, and resident communications.

Vendor and Contract Management

Coordinate and oversee vendors, contractors, and service providers.
Obtain and evaluate proposals for maintenance, repairs, and capital improvement projects.
Monitor contractor performance and verify completion of contracted work.
Review invoices for accuracy and approval.
Maintain vendor files, insurance certificates, and contract documentation.

Financial Administration

Assist with preparation and monitoring of the Association's operating and reserve budgets.
Review monthly financial reports and identify variances.
Monitor accounts payable and accounts receivable processes.
Coordinate collection activities for delinquent accounts.
Assist with reserve planning and capital project budgeting.
Prepare financial summaries and supporting documentation for Board review.

Board Support

Attend Board meetings and Annual Meetings as required.
Prepare meeting agendas, management reports, and supporting documentation.
Follow up on Board directives and action items.
Maintain official Association records and files.
Assist in the implementation of Board policies and resolutions.

Resident Relations

Serve as the primary point of contact for homeowners and residents.
Coordinate move-ins, move-outs, and resident registrations.
Prepare community notices, newsletters, and correspondence.
Promote positive community engagement and communication.

Building Systems and Capital Projects

Assist in managing major building systems including elevators, fire alarm systems, HVAC equipment, boilers, plumbing systems, electrical systems, and life-safety infrastructure.
Coordinate inspections, preventive maintenance programs, and regulatory compliance activities.
Support capital improvement projects from planning through completion.
Maintain project documentation and schedules.

Regulatory Compliance

Ensure compliance with condominium governing documents.
Maintain compliance with local, county, state, and federal regulations.
Coordinate required inspections, permits, and certifications.
Assist with insurance claims and risk management activities.

QualificationsRequired

High school diploma or equivalent.
Minimum of three (3) years of experience in community association, condominium, property, or facilities management.
Strong written and verbal communication skills.
Strong organizational and time management abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Ability to interpret financial statements and budgets.
Ability to work independently and exercise sound judgment.

Preferred

Certified Manager of Community Associations (CMCA).
Association Management Specialist (AMS).
Professional Community Association Manager (PCAM).
Maryland Community Association Manager License (if applicable).
Experience managing high-rise condominium communities.
Experience with reserve studies, capital projects, and vendor contract administration.

Physical Requirements

Ability to walk the property and inspect common areas.
Ability to lift up to 25 pounds occasionally.
Ability to work in office and field environments.

Pay: $24.00 - $32.00 per hour
