Full Job Description

We are seeking a dedicated, experienced, and highly organized Assistant Property Manager & Operations/Maintenance Coordinator for a luxury 55+ community in Nassau County. This position plays a key role in the daily operation of the community by assisting with property management, maintenance coordination, resident services, vendor management, staff supervision, and community events.

The ideal candidate is a proactive problem solver with exceptional customer service skills, strong organizational abilities, and the ability to manage multiple priorities in a fast-paced environment. This individual will work closely with the Property Manager and Maintenance team while serving as the primary point of contact in their absence.

Key Responsibilities

Property & Resident Services

Deliver exceptional customer service to residents and guests.
Respond promptly to resident inquiries, maintenance requests, and emergencies.
Create, assign, and monitor work orders to ensure timely completion.
Conduct follow-up inspections and maintain accurate maintenance records.

Maintenance & Facilities Coordination

Coordinate and prioritize maintenance requests and repair schedules.
Assist in overseeing the maintenance and cleanliness of all buildings and common areas.
Coordinate repairs involving electrical, plumbing, carpentry, HVAC, elevators, masonry, painting, flooring, garages, and other building systems.
Communicate with vendors, obtain proposals, schedule repairs, and oversee contractor performance.
Assist in developing preventative maintenance procedures and maintaining maintenance logs.
Ensure safety policies and procedures are followed by maintenance staff and contractors.

Administrative & Office Management

Assist the Property Manager with scheduling staff and preparing work schedules.
Maintain organized records, reports, and databases.
Manage office supply inventory.
Prepare reports and spreadsheets to improve operational efficiency.
Maintain confidentiality of resident and association information.

Community Operations & Events

Assist with planning and coordinating community events.
Set up Zoom meetings, audiovisual equipment, microphones, and presentation systems.
Assist with movie theater programming and event logistics.
Create POS buttons for events, café, and bar operations.
Provide seasonal oversight of pool, café, and veranda operations.
Assist with supervising seasonal employees and community staff.

Technology & Access Control

Program and manage resident key fobs, access credentials, and parking stickers using Brivo software.
Maintain parking records and enforce community parking policies.
Assist with technology-related administrative functions and troubleshooting.

Staff Leadership

Provide leadership and supervision in the absence of the Property Manager.
Coordinate daily assignments for maintenance and seasonal staff.
Foster a positive, professional, and service-oriented work environment.

Qualifications

Bachelor's degree in Business Administration, Facility Management, Property Management, or a related field preferred.
Minimum of 5 years of experience in property management, facilities management, maintenance experience, hospitality, or a related field.
Working knowledge of building maintenance systems including plumbing, electrical, carpentry, HVAC, and general repairs.
Excellent organizational, communication, and customer service skills.
Strong computer proficiency, including Microsoft Word, Excel, Outlook, and Zoom.
Experience with property management software, access control systems, or POS systems is a plus.
Ability to prioritize multiple projects while meeting deadlines.
Strong attention to detail and problem-solving skills.
Ability to work independently with minimal supervision.
Valid driver's license and reliable transportation.

Physical & Schedule Requirements

Full-time salaried position.
Must maintain a professional appearance.
Must be able to work weekends, evenings, holidays, and occasional overtime as needed.
Must be available for emergency on-call situations and be reachable by phone, text, or email outside normal business hours, except during approved time off.
Must be able to walk the property, climb stairs, and perform occasional physical tasks associated with inspections and event setup.
Must comply with all company safety policies and procedures.
