Job Description

This position requires being seated at the front desk of our main office located in Zona Rosa, with the hours of Monday, Thursday, and Friday from 8am to 430pm. The Administrative Specialist provides essential day-to-day support to keep office operations running smoothly and efficiently. Working three days per week, this role is a key point of contact for internal staff and external visitors, handling everything from scheduling and correspondence to record keeping and supply management. The ideal candidate is a proactive self-starter who brings strong organizational skills, professional communication, and the ability to manage multiple priorities with discretion.

Key Responsibilities

General Office Support

Answer incoming phone calls, take messages, and route inquiries to the appropriate parties
Welcome and assist visitors in a courteous and professional manner
Serve as a reliable point of contact for day-to-day office needs

Scheduling & Meeting Coordination

Schedule and manage conference room bookings
Set up and prepare meeting spaces for internal and external gatherings
Coordinate appointments and assist with calendar management as needed

Communication & Correspondence

Draft, proofread, and distribute professional correspondence including emails, memos, and reports
Ensure all outgoing communications are accurate, timely, and appropriately formatted

Record Keeping & Data Management

Maintain and update digital filing systems to ensure records are organized and easily accessible
Ensure data accuracy and compliance with internal document management practices

Inventory & Office Supplies

Monitor office supply levels and proactively place orders to prevent shortages
Coordinate equipment maintenance and manage vendor communications as needed

Logistics & Travel Support

Assist with booking travel arrangements and preparing detailed itineraries
Support planning and logistics for internal events and off-site meetings

Administrative & Financial Tasks

Sort and distribute incoming mail
Process and track employee expense reports
Perform basic accounting and data entry functions as assigned

Qualifications

Proven experience as an administrative assistant, receptionist, or in a relevant clerical role
Strong written and verbal communication skills
Exceptional organizational, prioritization, and multitasking abilities
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and OneDrive
Comfortable operating standard office equipment including printers and scanners
Ability to handle sensitive and confidential information with the utmost discretion and integrity
Self-starter who takes initiative and works independently without constant direction
Experience with AI productivity tools such as Microsoft Copilot, Claude, or ChatGPT
Familiarity with digital filing and records management systems
Prior experience supporting multiple team members or departments simultaneously

Pay: From $20.00 per hour
