We are looking for a dynamic and organized Office & Accounting Coordinator to join our team and help us maintain smoother efficiencies and processes.

Job Description: This position serves as the front office for our company. The right candidate enjoys greeting visitors, answering phones, and helping keep the office running smoothly. This position requires someone with a solid working knowledge of QuickBooks who is equally comfortable handling front office responsibilities, answering phones, greeting visitors, and helping keep the office running smoothly. The ideal candidate is organized, detail-oriented, and enjoys wearing multiple hats in a collaborative environment.

Key Responsibilities:

· Perform day-to-day bookkeeping using QuickBooks.

· Process accounts payable and accounts receivable.

· Record financial transactions and maintain accurate accounting records.

· Reconcile bank accounts and company credit card statements.

· Prepare customer invoices and monitor outstanding receivables.

· Process vendor payments and maintain vendor records.

· Maintain confidentiality of all financial and employee information.

· Serve as the first point of contact by answering phones and greeting visitors.

· Professionally screen incoming calls and visitors to determine the purpose of their visit and direct them appropriately.

· Order and maintain office and breakroom supplies.

· Serve as the first point of contact for visitors and phone calls, professionally screening inquiries and managing access to company personnel by enforcing visitor policies and minimizing unnecessary interruptions to maintain workplace productivity.

· Keep common office areas organized and professional.

· Maintain organized electronic and physical filing systems.

· Assist with travel arrangements and other administrative tasks.

· Support leadership and employees with general office needs.

· Perform other administrative and accounting duties as assigned.

Qualifications:

· Required: Minimum one year of recent, hands-on QuickBooks experience. Applicants without QuickBooks experience will not be considered.

· 2-5 years of bookkeeping or accounting experience.

· Experience with accounts payable, accounts receivable, bank reconciliations, and general bookkeeping.

· Previous administrative, receptionist, or office support experience preferred.

· Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.

· Strong organizational skills and attention to detail.

· Excellent verbal and written communication skills.

· Ability to work independently while supporting a team environment.

· Professional, dependable, and willing to assist wherever needed.
