Full Job Description

Job Title: Senior Client Service Associate

Position Summary

Xception Family Office is a growing multi-family office built to serve select families who have amassed significant wealth but lack the scale to justify a dedicated single-family office. As demand for personalized, institutional-quality wealth management continues to rise, we are expanding our team and refining the way we deliver advice. The Senior Client Service Associate works side by side with a senior advisor to care for a group of client families. The role is centered around being a trusted, responsive presence for clients while helping put their financial plans into action. The work involves preparing for and following up on client meetings, pulling together planning and portfolio materials, and handling the account and money movement requests that keep everything running smoothly behind the scenes.

This is a client-facing, relationship-driven role for someone who takes real ownership of the details and wants to grow their planning skills alongside an experienced advisor. The role is designed as a progression toward a Junior Wealth Advisor position, with increasing responsibility for planning work, client relationships, and investment strategy over time.

Key Responsibilities

Client Service & Relationship Support

· Serve as a day-to-day point of contact for client families, responding to questions and requests promptly and thoughtfully

· Prepare for client meetings and handle the follow-up, so nothing discussed with a client is left undone

· Get to know each family well — who is involved, what matters to them, and what they are working toward

· Keep the senior advisor informed on what clients need and where things stand

· Deliver a consistent, personal experience across every interaction

Planning & Advisory Support

· Help the senior advisor develop and carry out each family's financial plan, spanning investments, taxes, estate planning, insurance, and cash flow

· Build and update planning analyses and projections, and prepare the materials clients see

· Prepare performance reports and portfolio summaries ahead of client conversations

· Support investment recommendations and put them into action, in keeping with the firm's portfolio guidance and each family's objectives, risk tolerance, and liquidity needs

· Track ongoing items across a family's portfolio, including outside managers and private investments

· Coordinate with clients' CPAs, attorneys, and insurance professionals to keep everyone working from the same plan

· Turn investment and planning detail into clear, client-ready explanations

Account Administration

· Open and maintain accounts, and prepare the related paperwork for client signature

· Work directly with the custodian to set up accounts, resolve questions, and keep records current

· Process money movement requests — wires, transfers, and distributions — accurately and on time

· Manage paperwork and cash flows tied to private investments, such as capital calls and distributions

· Keep client account and reporting information accurate, and follow up on anything that looks off

Collaboration & Continuous Improvement

· Collaborate with investment and operations team

· Serve as a knowledgeable resource for teammates on client questions and firm processes

· Suggest better ways of working and help put new tools and processes in place

Qualifications

· Minimum of 3+ years in wealth management, a family office, or financial services, in a client-facing service role supporting an advisor and a book of client relationships

· Exposure to financial planning work — plan preparation, projections, and client deliverables — and familiarity with planning topics such as tax, estate, retirement, cash flow, and insurance

· General understanding of investment portfolios and how recommendations are implemented, including the role of life insurance in estate and wealth transfer planning

· Comfortable with the mechanics of account opening, custodial paperwork, and money movement; experience with Black Diamond and Schwab strongly preferred

· Proficient with eMoney, Excel, and other planning and reporting tools

· Exceptional attention to detail and follow-through, with the ability to juggle competing priorities and explain complex information clearly

· Warm, professional communicator who enjoys client contact and exercises sound judgment with sensitive family information

Credentials (Preferred)

· Bachelor's degree in Finance, Economics, or a related field

· Series 65 (or obtain within first three months of employment)

· Progress toward or completion of the CFP®, CFA, or similar designation
