Executive Assistant & Client Operations Coordinator
Martin Media — Soldotna, AK (In-office)

Martin Media is a premium boutique video and marketing agency on Alaska's Kenai Peninsula, led by filmmaker and entrepreneur Josiah Martin. As we grow, we're hiring an Executive Assistant & Client Operations Coordinator to be the owner's right hand and the operational backbone of our client experience — the person who protects Josiah's time, guides every client from "yes" to project kickoff, and makes sure contracts, invoices, communication, and details are never overlooked.

This is an administration, coordination, and client-care role — not video production and not bookkeeping. Our creative team handles the cameras and our finance team owns the books; you own the operational glue that holds everything together. It's an in-office role in Soldotna (not remote), with a clear path to grow into broader operations and business management.

What You'll Do

Manage the owner's inbox and calendar — triage what matters, draft responses, schedule meetings, and deliver a weekly summary of what he needs to know, do, and decide.
Run new-client onboarding end to end: contracts, welcome, project setup, and booking the strategy call.
Create and send invoices and follow up on payment (finance handles the books), and keep the CRM and sales pipeline clean with a clear next step on every lead.
Keep every open loop tracked and closed, use AI tools (Claude, ChatGPT) to work efficiently, and maintain simple SOPs and light automations.

Trustworthy and discreet with a busy inbox, calendar, and sensitive information.
Warm, people-first, and a clear professional communicator.
Comfortable with technology and AI tools; a self-starter who takes ownership.
Able to work in-office in Soldotna, Alaska.
Preferred: executive-assistant, office-management, or operations experience (strong early-career candidates encouraged); familiarity with Monday.com or Google Workspace.

Compensation & Growth
$20–$25/hour depending on experience. Part-time to start (~25–30 hrs/week) with a clear path to full-time, and a 90-day review with a defined growth ladder tied to results.
