Position Summary

The Receptionist provides administrative support and performs clerical, customer service, and non-technical duties within assigned practices or departments. This role serves as a key point of contact for patients, staff, and external partners.

Reports To Office Manager, Supervisor, or Department Director

FLSA Status Non-exempt

Education

High School Diploma or equivalent (preferred)
Associate’s Degree (preferred)

Required Skills

Strong critical thinking and decision-making abilities
Ability to work independently with minimal supervision
Ability to function effectively in a fast-paced, sometimes stressful environment
Strong communication and organizational skills
Ability to handle sensitive and confidential information

Essential Functions

Prepare statistical reports and perform clerical duties such as:
- Managing incoming/outgoing mail
- Maintaining filing systems and databases
- Typing correspondence and documents
- Copying, scanning, and faxing
Greet visitors and communicate with patients, providers, and departments
Answer, direct, and manage phone calls and messages
Organize, coordinate, and schedule meetings and appointments
Maintain a clean and organized office environment; monitor and order supplies
Respond to information requests and inquiries
Coordinate workflow and maintain records of office activities
Perform basic accounting functions such as:
- Processing invoices
- Making deposits
- Managing petty cash (if applicable)

Non-Essential Functions

Perform other duties as assigned
Participate in staff meetings, in-services, and committees
Adhere to hospital policies and procedures
Work scheduled shifts, including overtime if required
Accept call schedules as directed
Maintain a professional appearance in accordance with dress code

Work Environment & Demands

Serves both internal staff and external customers, clients, and contractors
Regular access to sensitive and confidential information
Requires the ability to work under pressure and respond appropriately
