Full Job Description

Accounts Payable Clerk

Reports to: CFO Department: Accounting

Classification: Non - Exempt Division: Diestel Turkey Ranch

Date: 7/19/22 Approved:

BASIC FUNCTIONS:

Under the direction of the Accounting Supervisor, this position is responsible for providing clerical support necessary to pay the obligations of Diestel Turkey Ranch.

PRIMARY RESPONSIBILITIES:

1. Receives all incoming invoices. Reviews them for prior approvals, purchase orders, those that need for more information and comparison with packing slips.

Sends invoices to appropriate supervisors for approval and allocation to each company.

2. Accurately accurately inputs vendor numbers, account numbers and due date on invoices.

3. Verifies all addresses and federal I.D. numbers of vendors if available; calculates all extensions and totals on invoices, calculating and taking discounts when applicable; verifies all state and local coding, checking company allocations; reviews invoices and requisitions for satisfactory payment approval, checking vendor files for any previous payments.

4. Accurately keys all invoices and purchase orders into computer system with the help of Administrative Assistant. Makes copies of vouchers, invoices, or correspondence necessary for department or agency files.

5. Type and record manual checks upon request.

6. Accurately input deposits and manual checks into computer by company.

7. Record checks for deposit to payroll and other miscellaneous accounts.

8. Files all company copies prepared per above into vendor files for the Diestel

Turkey Ranch and its companies.

9. Maintains and records checks into log, recording all invoices numbers and payees.

10. Receives and organizes statements from vendors; checks vendor files for payment of any invoices listed outstanding and calls departments and or vendors in regard to any old outstanding invoices for verification of unpaid, lost, or billed invoices.

11. Takes phone calls and answers any questions from departments or vendors in regards to invoice payments.

12. Makes calls to vendors to clarify any questionable invoice items, prices, or receiving signatures; calls department for proper information and/or data regarding invoice payments.

13. Sells and keeps log of gift certificates and scrip for Sales Room.

Accounts Payable Clerk

14. Acts as a back up for Administrative Assistant for incoming phone calls and two- way radio, distribution of faxes and intercompany mail, distribution of deliveries

(i.e. UPS, Fed Ex), pick up mail at street mailbox, when necessary.

15. Requests maintenance on office equipment.

16. Petty cash disbursement and reconciliation.

17. Files all Accounts Payable items in accordance with company’s filing system.

18. Performs other related tasks as assigned.

JOB QUALIFICATIONS:

1. Familiarity with clerical practices, office procedures, and automated equipment.

2. Good written and oral communication skills.

3. Ability to manage workload with regards to multiple deadlines.

4. Ability to accurately input data while still meeting deadlines.

5. High school graduate or equivalent, with accounting training desirable.

6. Pleasant telephone manner.

7. Must have a cooperative, constructive, respectful attitude, and must be able to work as a team member.

PHYSICAL DEMANDS:

1. Regularly required to stand; use hands to fingers, handle or feel objects or tools, or controls; reach with hands and arms; and talk or hear.

2. Regularly required to walk, sit and stoop, kneel, crouch, or crawl.

3. Occasionally lifts up to 50 lbs.

4. Vision abilities required include close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus.

WORK ENVIRONMENT:

1. Occasionally works near moving mechanical parts and occasionally is exposed to wet and/or hot/humid conditions

2. Occasionally exposed to fumes or airborne particles.
